Scheduling the Time Approval Records Task

The Time Approval Records Task controls the creation of time approval records and the status of the associated timesheets. In order for there to be records to approve, you must schedule and configure the Time Approval Records Task.

  1. Log in to the WFM desktop application.
  2. Select Maintenance > System Administration > Job Scheduler.
  3. Click Add Schedule.
  4. Specify a description in the Task Description field.
  5. Select Java Task in the Task Type field.
  6. Select Time Approval Records Task from the drop-down list.
  7. Complete the Scheduled Time, Scheduling Time, Blackout Period, and Scheduling Range sections as required.
  8. Click Submit and click OK.
  9. Locate the newly created task using the task description.
  10. Click Parameters.
  11. Specify one or more of these parameters to indicate what time approval records the application should generate:
    • Apply to Teams
    • Apply to Sub Teams
    • Apply to Calc Groups
    • Apply to Pay Groups
    • Apply to Reader Groups
    • Apply to Employees
  12. Specify values for the Start Date Offset and End Date Offset fields. The application uses the offsets to determine the scan range for records that have not been approved or rejected previously by an employee. The start date offset value indicates the start of the range in days before today, while the end date offset value indicates the end of the range in days before today. Therefore, both fields are in number of days and not actual specific calendar dates.

    In this example, the task will create records for yesterday, and the 6 days prior:

    • Start Date Offset: 7
    • End Date Offset: 1

    No records are created for the current day.

    Note: If the task is set to run each night, no duplicate records will be created, even if the task is creating records for multiple days in the past.
  13. Specify a value for the Batch Process Size field. This size indicates the maximum number of records the application should retrieve and process at a time. The default value is 100.
  14. Click Submit. The task setup is complete and will now run based on the specified schedule.
