Shift Labeling

System administrators can now associate an additional name (label) to a shift. The labeled shift can be displayed in MVS screens as a reference to the associated shifts. The shift label can be limited to a configurable length. Shift labeling is a common scheduling practice for Healthcare Service Providers. The label aids in displaying more shifts on a single scheduling screen (such as Enhanced Schedule View) while keeping the shifts easily legible.

Staffing Requirement Definition

Schedulers can now specify staffing requirements for creating rotational schedules. Rotational schedule screens (Master Rotation and One Time Schedule) now provide you with feedback on whether the plotted shifts match the configured labor requirements.

Master Rotation Creation and Assignment

Schedulers can now create rotational schedules. Each rotation can have as many patterns of shifts and labor metrics as required (rows). Each rotation row can be assigned to an employee. Each employee row can become the baseline schedule for that employee upon publishing.

One-Time Schedule Creation and Assignment

Schedulers can now create and edit one-time schedules based on a template of shifts and labor metrics. A limit is configured at the application level to constrain the length of one-time schedules (for example, up to 9 weeks). Each pattern of shifts (row) in the one-time schedule can be assigned to employees to become their baseline schedule upon publishing.

Schedule Publishing

Schedulers can now publish master rotations and one-time schedules to employees’ timesheets. Once published, the schedules become the employee’s schedule. Master rotations are published for the duration configured at the application level (for example, 365 days into future). One-time schedules are published for the duration of the published one-time schedule (for example, 6 weeks).

Relief Management

Schedulers can now queue unfulfilled workload as groups of relief shifts in the relief queue. These relief shifts have various statuses to indicate different business or operational needs (for example, UNFILLED or PENDING). The shifts are organized into groups based on transactions and relief blocks.

Schedulers can now indicate the statuses of relief shifts with color coding.

Relief Shift Offering

Schedulers can now offer unfulfilled workload (relief shifts) to eligible employees via the Relief Calling Area (RCA). Multiple options allow eligible employees to accept or reject the offered relief shifts. Schedulers can now accept the offered relief shifts while at the same time giving away the employees’ existing scheduled shifts. Automatic switching of relief shifts with scheduled shifts helps to avoid overtime and over-scheduling situations.

Relief Shift Transaction Logging

Schedulers can now enter comments and reasons for each employee’s acceptance or rejection of the offered relief shifts. The reasons are logged against the offered shifts. The logged information can help schedulers to understand why a relief shift is accepted or reject, and to make adjustments to improve the acceptance of future shifts.

Configurable Employee Pool Sorting

The system can now be configured to sort the pool of employees that are eligible for relief-shifts in various orders. The sort orders can be set up to sort the employees based on employee properties.

Shift History

The system can now log all the transactions that occurred to a shift. The logged transactions are visible in the Shift History screen. The logged transactions can include published schedules, shifts created ad-hoc, requested time-off, and accepted relief shifts. The system also keeps track of shifts that employees no longer own. The shift history information is available to schedulers and managers when dealing with employee grievances.

Enhanced Schedule View

Schedulers can now choose overall views of schedules for various groupings of employees. The views show relationships between swapped shifts, requested time-off and backfilling employees, and related relief shifts. Available views are the schedule by employees view and schedule by teams view. The views also provide various sorts (for example, rotational row number and employee last name).

Schedulers can also:

  • Request time off for employees
  • Create ad-hoc shifts (staff or unstaffed)
  • Edit existing shifts
  • Swap shifts and reverse swapped shifts
  • Offer relief shifts

All transactions are logged in Shift History.

Launchpad

The Launchpad provides an at-a-glance view of the outstanding relief shifts that need to be filled by the scheduler. The Launchpad can be configured as your home screen in the application. The Launchpad lists the groups of relief shifts available to employees, and provides a shortcut to offer these shifts in the Relief Calling Area.
