Creating a One-time Schedule

You can create a One-time Schedule (OTS) for selected team members or for every member of a team. After creating an OTS, you plot the shifts, employee assignments, and labor metrics for the duration of the schedule.

  1. Select Scheduling > Multi-view Scheduler > One-time Schedule > Manage One-time Schedules.
  2. Click Create New Entry.
  3. Specify this information:
    Unit
Select the unit or team to use this OTS.
    Name
Specify a name for the OTS.
    Description
Optionally, specify a description of the OTS.
    Source Template
Optionally, select an OTS template. If a template is selected, the start date and end date are automatically populated for the next schedule period. The start date is the next day after the end date of the last OTS schedule that is based on this template. The end date is determined by the length of the last OTS schedule.
    Staffing Requirement Template
Optionally, select a Staffing Requirement Template (SRT). If this option is selected, the new OTS uses the staff requirements from the selected SRT to determine staffing coverage.
    Start Date
Specify the start date for the OTS.
    End Date
Specify the end date for the OTS.
  4. If the OTS is not based on a template, select an option in the Assign Staff section to determine how to assign staff to the OTS:
    Team
Select this option to create a schedule row in the OTS for every employee in the selected team or unit.
    Individual Employees
Select this option to create a schedule row in the OTS for specified employees only. Specify the employees to add to the OTS in the Select Employees field.
    Jobs
Select this option to create an OTS with a specified number of rows per job. See Creating a One-time Schedule with number of rows per job.
  5. If the Team or Individual Employees option is selected, then select the default sorting to apply to rows in the OTS in the Employee Sort drop-down menus. Rows can be sorted by Employee Name or Employee ID in Ascending or Descending order.
  6. If the Team or Individual Employees option is selected, then select the default set of labor metrics for rows in the OTS in the Row Costing drop-down menu. Select Employee-based to use labor metrics from each employee's default labor allocation. Select Row-based option to use the labor metrics that are applied to each row.
  7. Select the Auto Row Naming check box to automatically number rows based on the row order. Clear this check box to allow row names to be updated manually.
  8. Click Create.
The new One-time Schedule is displayed in the OTS edit screen.
