Configuring shift data elements in MR and OTS

Users can update data element fields on individual shifts in a Master Rotation (MR) or One-time Schedule (OTS) to record additional details that are related to the shift. For example, users could specify the floor where a shift takes place or the beds the assigned employee is responsible for. Up to 10 data element fields can be used. The meanings, names, and behavior of the fields can be configured according to customer requirements.

The Shift Data Elements pop-up allows users to edit the data element fields when editing an MR or OTS in Schedule mode. The data element fields in this pop-up (MROTS_SHIFT_DATA_ELEMENTS_1~10) can be configured based on customer requirements. Individual fields can be disabled to prevent users from editing the fields. You can use security access configuration on the MR_OTS_SHIFT_DATA_ELEMENTS_MENU_ITEM field to hide the Data Elements right-click menu item. This prevents users, based on security group membership, from accessing the Shift Data Elements pop-up.

Data elements are published as shift summary UDFs

Values specified by users in the data element fields are included in published shifts in the shift summary UDF fields when the MR or OTS is processed. Each data element field (MROTS_SHIFT_DATA_ELEMENTS_1~10) corresponds with the shift summary UDF field (SHIFTSUM_UDF_1~10) with the same number.

It is important to understand how default values for shift summary UDFs that are defined in shift configuration are affected when users edit data element fields on MR or OTS shifts. When an MR or OTS shift is published, values specified in data element fields overwrite the default values set in shift configuration. If users leave a data element field blank, the default value from the shift configuration is included on the published shift.

You can disable data element fields in the MR or OTS edit screens to prevent users from editing the default value from the shift configuration. For example, the value specified in shift summary UDF1 affects payroll behavior, and the value specified in shift summary UDF2 is used for scheduling information only. For shift summary UDF1, the data element field can be disabled to prevent schedulers from editing the value on shifts in an MR or OTS. For shift summary UDF2, the data element field is enabled to allow schedulers to update the value.
