Exporting personal data in a machine-readable form

An individual has the right to request a copy of all the data your company has for them in a commonly used, structured and machine-readable format so that they can take it elsewhere.

The data controller can use Cognos Analytics to export data from Infor Workforce Management for the data subject. The machine-readable export formats vary based on the system used:

  • Workforce Management – HTML format is available.
  • Cognos Analytics – CSV format is available.

You can generate Cognos Analytics reports from within the application by selecting My Reports:

  • The Employee Information Report provides information on the Team Name, Employee ID, Full Name, Hire Date, Effective Date, Birth Date, Seniority Date, Status, Calculation Group Name, Pay Group Name and Shift Pattern name of the data subject.
  • Other reports that provide transactional information are the Year at a Glance Reports. These include Absences, Overtime, and Schedule for the year reports.
  • The Override by Employee Report allows managers to report on all overrides applied to a single employee. Managers can filter the report by override type, override status and date range. The date range is applied to both created and cancelled overrides. The report can be ordered by the override creation date, cancelled date, type or status.

If your organization requires the data to be exported to another system, this must occur before the permanent erasure or anonymization of an employee’s information. Once permanent erasure has been completed, the information will no longer be available for reporting purposes.
