Creating or updating a copy of a plan

You can create a copy of a plan, for example, in the Budget Management module. A copy enables budget managers to review the budget or forecast while the original is undergoing the solicitation process. Copying a plan actually creates a plan and a corresponding layout.

Use the Labor Budgeting - Copy Task to copy a plan. You can copy only plans that are locked. When copying a budget or BUP, the Master version is copied, and when copying a forecast, the Master and Sysforecast versions are copied.

After a budget or forecast copy has been created, it can be updated at any time with the most current budget or forecast, through the Labor Budgeting - Copy Task job.

  1. Select Maintenance > > Job Scheduler. System Administration
  2. Click Add Schedule.
    The Job Scheduler page is displayed.
  3. In the Task Description field, specify the name of the task.
  4. In the Task Type area, select Java Task, and then select Labor Budgeting - Copy Task from the drop-down list.
  5. Complete the other fields on the Job Scheduler page. See the Infor WFM Time and Attendance Implementation and Administration Guide.
  6. Click Submit.
  7. Click OK.
    The Task Schedules page is displayed. The task you created is displayed in the list.
  8. Click Parameters next to the new task.
    The Copy Budget/Forecast page is displayed.
  9. Specify this information:
    Generate a New Copy
    Select this check box to create a new copy of the budget/forecast.
    Update an Existing Copy
    Select this check box to update an existing copy of the budget/forecast.
    New Budget/Forecast and Layout Name
    Enabled only if the Generate a New Copy check box is selected. Type a unique name for this copy and corresponding layout.
    Existing Layout
    Enabled only if the Generate a New Copy check box is selected. Use the lookup to select the layout to copy.
    Maintain Reference
    System

    Enabled only if the Generate a New Copy check box is selected.

    Select this check box to replace all the references to the source budget/forecast, which is selected in the Copy From field, with the name of the copy of the budget/forecast. Any references to other budget/forecast names are not changed. For example, the following references are not replaced:

    • Sales - Last Years Actuals
    • Sales - This Years Actuals
    • Sales - Budget
    • Payroll % - Budget
    • Payroll - Budget
    • AHR - Budget
    • SPH - Budget

    Clear this check box to replace all the references with the name of the copy of the budget/forecast for all columns of the copied layout.

    Copy From
    Use the lookup to select the source for the copied data from the list of locked Master versions of the budget/forecast.
    Copy To

    Enabled only if the Update an Existing Copy check box is selected.

    Use the lookup to select the target for the copied data from the list of locked Master versions of the budget/forecast.

    Make sure the root locations and the root time periods of the budget/forecasts selected in the Copy From and Copy To fields match. Otherwise, the copy job fails.

    Notify All Budget Managers

    Select this check box to send a Workmail notification message to all budget managers associated with this budget/forecast indicating that the copied budget/forecast is ready for viewing.

    Clear this check box to send to send a Workmail notification to the root budget manager only indicating that the copied budget/forecast is ready for viewing.

  10. Click Continue to save the parameters.
    After the budget/forecast has been successfully copied, a Workmail notification that the copied budget/forecast is ready for viewing is sent to the budget managers specified in the Notify All Budget Managers field above.
