Creating a basic archiving policy for your organization

This topic outlines the steps for starting the archiving process at your organization with simple recommendations to get started.

  1. Follow the steps in Creating archive policies to create an Archive Policy Runner task that runs across all policies and archives data up to 728 days (104 weeks) ago. In other words, you are retaining data up to 728 days ago. This is a fairly relaxed level of archving.
  2. When creating the task specify this information:
    Archive Policies
    Select ALL for this field.
    Archive up to
    Specify 728 days ago.
  3. Schedule the archiving task to run daily and during off-peak hours.
  4. Monitor the initial run of the archiving task to ensure it is not archiving records that you require.
  5. Based on your observations in the previous step, adjust the archiving task to become more aggressive or relaxed to suit your requirements. These are the recommendations for the relaxed, moderate and aggressive level of archiving:
    • Relaxed: 728 days (104 weeks). This should be your initial setting.
    • Moderate: 364 days (52 weeks).
    • Aggressive: 84 days (12 weeks)
    Note: For heavily used parts of the product in your deployment, you also have the option of creating archiving policies that target these specific areas.
