Time and Attendance reports

Each report has different parameters. Some parameters are shared by multiple reports, and others are unique to one report.

Report Description
Balance Detail Report The Balance Detail Report displays an initial and final balance as well any balance changes that have occurred during a selected date range. The report can be filtered by teams, employees and balance types.
Note: To improve performance, the BAL_REPORTS_MAX_EMPLOYEES registry parameter can be used to set a maximum number of employees for the report. If the report query returns more than this maximum, an exception is shown. To run the report you must change the parameters to return a smaller number of employees.
Balance Summary Report The Balance Summary Report displays an employee's balances for a specific date. The report can be filtered by teams, employees and balance types, such as SICK (Sick Days) or VAC (Vacation Days).
Note: To improve performance, the BAL_REPORTS_MAX_EMPLOYEES registry parameter can be used to set a maximum number of employees for the report. If the report query returns more than this maximum, an exception is shown. To run the report you must change the parameters to return a smaller number of employees.
Daily Employee Overtime Report The report shows the number of hours an employee worked for each overtime hour type (OT1, OT2, OT3, etc.) on each date within the interval that is selected in the report selection parameters. The report items are organized according to the values that are selected in the Group By and Second Group By fields.

If the Include in Year at a Glance flag is not selected for an hour type (through Payroll Settings), the hour type is still displayed in the report, but it is not included in the Total column. To ensure the Total column accurately reflects the total of all overtime hour types in the report, either set the Include in Year at a Glance flag for the hour type or remove the relevant column from the report.

Note: This report is similar to the Employee Overtime Report. The Employee Overtime Report aggregates employee overtime per day (unless the Second Order By field is set to Work Date). The Daily Employee Overtime Report uses one line per day worked, whereas the Employee Overtime Report uses one line per employee.
Daily Error and Exceptions Report The report shows any clock errors that employees receive when they clock on or off for a shift. Information that is displayed in the report includes the employee ID and name, calculation group, clock time the error occurred, and in or out exceptions.
Daily Project Activity and Docket Report The report shows daily work against teams, projects, dockets, or jobs in a specified time interval. Each record represents the work done by a single employee on a given date and is grouped at two levels: by docket, project, jobs, or teams. For each line item, the hours are grouped into one of four categories: WRK codes, OT codes, ABS codes, and OTHER codes. Therefore, each line item shows the sum of work detail minutes on a particular date for each of the four categories.

OT hours are defined with a Include in Year at a Glance flag on the hour type. ABS hours are defined as time codes with the Include in Year at a Glance flag selected.

Daily Time and Attendance Report The report shows each employee's scheduled start and end times for a day along with work detail start and end times, time codes, and hour types, with worked hours being summed for each employee and grouping. Employees can be grouped by pay group, calculation group, or team.

The report can be run for a single date only.

Detailed Time Code by Employee Report The report lists the time spent by each employee towards each time code in a specified time interval according to date. Records are grouped into sections corresponding to each employee with work detail records. Within the employee grouping level, the records are grouped by date. Therefore, the user can see the time codes worked by each employee on each day.
Employee Information Report The report lists employees meeting the selection parameters (and within the team-based security constraints). For each employee, employment details, status, team, calculation group, pay group, and shift pattern are displayed.
Employee Overtime Cost Report The Employee Overtime Cost report shows the number of hours an employee worked for each overtime hour type (OT1, OT2, OT3, and so on) and its associated cost on each date within the selected interval. Two bar graphs are displayed: the first graph lists the five teams with the highest OT cost, the second graph lists the five teams with the highest OT hours. A table is located beneath the graphs for all teams and is organized according to the values selected in the Group By and Second Group By fields.
Employee Overtime Report The report shows the number of hours an employee worked for each overtime hour type (OT1, OT2, OT3, etc.) and REG, on each date within the interval that is selected in the report selection parameters. The report items are organized according to the values that are selected in the Group By and Second Group By fields.

Employee Punches By Day Report The report provides a breakdown of hours, productive hours, overtime hours, and absent hours by work day for a given employee on a team. The report also shows the original punch type, punch time, and punch data for each employee. The hours, productive hours, overtime hours, and absent hours are totaled for each employee within the specified date range. The hours are also totaled for each team individually and all teams.
Employee Seniority Report The report shows all employees whose records you have permission to view. It shows the employee name, shift pattern, hire date, seniority date, and the three-month date (three months from when the employee was hired).
Employee Time Approval State Report The Employee Time Approval State Report displays the following types of time approval records: All, Approved, Created, Pending, Rejected or Shown. The report can be grouped by Team, Pay Group or Calculation Group and ordered by Employee ID or Full Name.
Graphical Employee Productivity Report The Graphical Employee Productivity report shows employee productivity metrics graphically. Each row constitutes an employee on the selected teams (or sub team of the selected team) and includes a time code pie chart for each employee. The report aggregates work data over a user specified date interval and allows the user to choose employees and teams for which the report should be run.
Graphical Team Productivity Report The Graphical Team Productivity report shows team productivity metrics graphically. The report aggregates work data over a user specified date interval and allows the user to choose teams for which the report should be run. Clicking on a team drills through to a separate report that shows data for sub teams.
Net Absenteeism Report The report shows employee absences, including the scheduled hours for the day, hours missed, whether they were controllable, and what percentage of total scheduled time for the selected date interval was missed. The employees are grouped by team to make it easier to spot the absenteeism per team.
OTE Offered and Worked Report The report tracks the offers of overtime work to employees along with the responses (whether the employee accepted the overtime offer.) For each offer, details include the date, start and end times, and duration. For OTE purposes, points charged and balances show how each offer affected the employee's point balance. The offers are grouped primarily by OTE Group and secondly by employee.
Override by Employee Report The Override by Employee Report allows managers to report on all overrides applied to a single employee. Managers can filter the report by override type, override status and date range. The date range is applied to both created and canceled overrides.

The report can be ordered by the override creation date, canceled date, type or status.

Overtime Trend Report

The Overtime Trend Report allows a manager to see the amount of overtime worked by their teams in a configurable date interval versus the same interval previous. For example, a manager will use this report to compare overtime worked this week-to-date compared to the same days in the previous week. The date intervals compared always have the same number of days, ensuring a meaningful comparison. A manual date option is also available. If the total overtime exceeds the overtime accrued for a team in the previous period, the font is changed to highlight this condition. To further illustrate trends, the data is graphically rendered in a bar chart and a line graph. There is a maximum of ten teams displayed in the bar chart filtered based on highest variance percentage (%). There is also a maximum of ten teams displayed in the line graph filtered based on the Total OT% for the one year period. Data is summarized such that an executive viewing the report will see the total of all sub teams. If further detail is required, then a drill through to the sub teams is provided.

Note: This report may not be suitable for extremely large teams and may lead to performance issues. You also have the option of scheduling this report to run after hours if it takes too long to generate. However, using large teams may still cause this report to time out.
Shift Pattern Detail Report The report provides details about all selected shift patterns. For each shift pattern, a line item for each day in the shift pattern shows the start time and end time. Each shift pattern constitutes a section in the report. Different shift patterns will have different numbers of day and therefore different numbers of line items in the report results.
Time Code by Employee Report The report lists the time spent by each employee towards each time code in a specified time interval. Records are grouped into sections corresponding to each employee with work detail records.
Time Code by Team and Employee Report The Timecode By Team and Employee report displays employee work detail records for time code occurrences for a specified date range.

You must specify a date range and time code for the report. You can specify additional selection criteria such as Calc Group, Team, and Employee. If you only specify a date range and time codes, then the report displays all employee time code records for the specified time period.

Timesheet Audit Report The Timesheet Audit Report allows managers to view overrides performed on a timesheet. This report allows you to drill-through on an employee to see override information including details such as the employee’s name, override type, who applied the override, when the override was applied and the status of the override.

The report can be filtered by Team, Employee, Pay Group, Calc Group and Date Range. The overrides can be filtered by Override Type. Note, the report will display all timesheet records, including those without any overrides applied.

Unauthorized Records Report The report shows employee daily work summaries that are unauthorized. For each record, the date, employee ID, name, pay group, and shift are displayed. In addition, two strings representing the hour types and time codes worked in the day are displayed with the number of hours corresponding to each hour type or time code. This provides an at-a-glace summary of the unauthorized employee work day.
Work Adjustment Report The Work Adjustment report, allows you to review and verify any adjustments prior to performing a payroll export. The report cannot filter out work records that have already been exported and it is also unable to display retro-adjustment records and should be treated as an estimate only. The report can be filtered by Employee, Team, Pay Group and Calculation Group.
Note: This report is also automatically run during the Payroll Close Wizard and allows you to further verify whether the payroll (on-cycle) or employee (off-cycle) information that you are about to export is correct. If no adjustments were created, "No Adjustments" is displayed under Summary Report next to each pay group or employee.
Workforce Lost Time Report This drill-through report provides a breakdown of time lost per team due to absences. Two graphs are displayed: one shows the trend for the previous twelve months and the other shows the breakdown of absent time codes by team. Clicking on a team name shows the lost time graphs and time code breakdown for sub teams.
Work In/Out Report The report displays the start and end times that an employee worked on a specified date (i.e., the clock in and out times), and the total number of hours worked for the specified date.

You can filter the report by Employee, Team, Pay Group and Calc Group.

Work Summary Report The Work Summary Report displays work details for the employee, grouped by one of the options in the Group by Parameter and the employee. Information that is displayed for each work date includes employee name and ID, holiday hours, Authorizations, start/end shift times, and total number of hours the employee worked.
