Specifying employees for shift broadcasts

  1. In the Broadcast Shift pop-up, specify search information in the Call List, Unit, Employee, Position, and Skills fields.
    Specify information in one or more of the fields.
  2. Click:
    Available
    Displays only employees who are available for the shift.
    All
    Displays all employees who meet your search conditions, even if they are not available.
  3. Select the filters that you want to apply to the search results, in the Employment Type, Work Type, Schedule Status, and Compliance fields.
  4. Select the sorts that you want to apply to the search results, in the Primary Sort and Secondary Sort fields.
  5. Click Load. A list of employees is loaded into the bottom section of the Broadcast Shift pop-up. At the top of the list is a brief description of the available shift.
  6. Select the check boxes for the employees to whom you want to offer the shift.
  7. Click Broadcast Shift. The confirmation window is displayed.
  8. If you are broadcasting through Vocantas, you can make selections for these items on the Mobile Offer pop-up which is available in Details edit mode:
    • To launch automatically, select the Auto-Launch checkbox. If you do not select the checkbox, you must launch the offers manually.
    • To send a brief message with the offer, type the message in the Notification Message text box.
  9. Select the Auto-approve Compliance Warnings check box to have the system automatically approve any schedule compliance warnings caused by an employee claiming the shift.
  10. Specify the amount of time in minutes that you want hold the offer open in the Offer Window field.
    Note: For calls to Vocantas, this field can be left blank for calls.
    The time at which the offer closes is displayed in the Approx. Closing Time field. This time is calculated using the number of minutes specified in the Offer Window field.
  11. Click Offer. The offer is broadcast to the mobile devices. At the same time, a telephone icon is displayed in the shift cell. The icon indicates that the shift is locked. The lock will persist for the duration of the offer as specified in the Offer Window field.
