Broadcasting a mobile offer in Central Staffing

You can use Mobile Shift Offer to offer unassigned shifts to employees by phone, text message, or email.

Note: The ability to broadcast partial shifts, which is described in this section, became available in release 2023.02.
  1. Select Scheduling > Multi-view Scheduler > Central Staffing > Central Staffing.
  2. Load the schedule containing the shift you are offering.
  3. Right-click an unassigned shift and select Broadcast Shift.
    The Broadcast Shift pop-up opens.
  4. Specify one or more of these options to search for employees to offer the shift to:
    Unit
    Specify one or more units.
    Employees
    Specify one or more employees.
    Call List
    Specify one or more call lists.
  5. Optionally, specify these options to filter the search results:
    Job
    Select a job that employees must be qualified for.
    Skills
    Select one or more skills that employees must be qualified for. If multiple skills are selected, then employees must be qualified for all of the selected skills.
    Employment Type
    Select one or employment types that employees must have in their employee profile.
    Work Type
    Select one or more work types that employees must have in their employee profile.
    Availability
    Select one or more of these options to select employees based on availability status:
    • Available: Select employees that are available during the shift time.
    • Unavailable: Select employees that are not available during the shift time. Employees are also considered unavailable if they have shifts, book-offs, or approved time off requests that overlap the shift being offered.
    • Unknown: Select employees that do not defined availability during the shift time.
    Schedule Status
    Select one or more of these options to select employees based on their schedule status on the work date of the shift being offered:
    • Scheduled: Select employees that are scheduled to at least one shift, that are booked-off, or that have approved time off.
    • Unscheduled: Select employees that are not scheduled on the work date. This includes employees that have a pending time off request and do not have any shifts scheduled.
    Schedule Compliance Status
    Select one or more of these options to select employees where schedule compliance violations would be caused by the employee claiming the shift:
    • No violation: Selects employees that can claim the shift without causing any violations.
    • Warning(s): Selects employees where claiming the shift would cause schedule compliance warnings.
    • Error(s): Selects employees where claiming the shift would cause schedule compliance errors.
  6. Select the primary criteria to sort employees from the Primary Sort drop-down, and select the secondary criteria from the Secondary Sort drop-down.
  7. Click Refresh.
    The list of employees that meet your search criteria is displayed in the Offer Employees section, along with their weekly scheduled hours. An orange triangle icon is displayed for employees that would cause schedule compliance warnings if they claimed the shift. A red circle icon is displayed for employees that would cause schedule compliance errors by claiming the shift.
  8. Click Select All to offer the shift to all the displayed employees, or select the employees that you are offering the shift to.
  9. Select the Auto-approve Compliance Warnings check box to have the system automatically approve any schedule compliance warnings caused by an employee claiming the shift.
  10. Select the Allow Partial Shift Claims check box to allow partial shifts to be broadcast for claiming. The third-party service must support this feature. (Vocantas supports the feature.)
  11. Specify the amount of time in minutes to hold the offer open in the Offer Window field.
    Note: With release 2023.10, the Offer Window field can be left blank.
  12. Click Submit.
The shift is offered to the selected employees, who are notified using the contact methods specified in their employee profile. The Mobile Shift Offer icon ( Mobile shift offer icon) is displayed on the shift. The shift is locked for the duration of the offer as specified in the Offer Window field.
