Using the Relief Calling Area

The Relief Calling Area page lets you assign employees to shifts. The assignment process lets you contact the employee and record the employees responses.

This topic assumes you are already on the Relief Queue and have selected the open shifts to send to relief. If you need more information about how to access the Relief Queue or about fields that are not described here, search Documentation Central (docs.infor.com).

  1. Click Go to view the Relief Queue.
  2. In the Relief Calling Area page, click the plus sign (+) beside Employee Selection Criteria.
  3. If you have created a preset for the Relief Calling Area and you plan to use it for this callout, select it. You can skip all other Employee Criteria steps in this section.
    The ability to create presets for the Relief Calling Area became available in version 2023.10.
  4. Select one or more call lists, teams, or employees to filter the employees that are displayed in the Employee Pool. One of the Call List Member, Teams, or Employee fields must be filled in.
    The Call List Member lookup only returns the call lists that are associated to the relief shifts' teams. For example, if relief shifts from the CARDIO and ICU teams are offered, then only the call lists that are associated with at least one of those teams will be available for selection in the lookup.
    Note: If a common call list is found across all the offered relief shifts, then the lookup field is populated with that call list automatically.

    You can further filter the Employee Pool based on specific shift types that employees are associated to in the call list using the Call List Shift Type filter. The filter is automatically populated with the shift types of the offered shifts, if call lists are pre-populated in the Call List Member field. When filtering the Employee Pool by teams or employees, the filter is disabled.

    As of Release 2023.10, you can use the Non-Home Team field to include employees that are outside of their home team in the employee section criteria by checking the Include Non-Home Team checkbox. When checked, the employee pool displays either:
    • Employees whose home team matches the team identified in the selection criteria.
    • Employees whose non-home team matches the team identified in the selection criteria.

    All employees whose home/non-home team assignment matches the team in the employee selection criteria show in RCA if the team they are assigned to is active for at least one of the days when the shift is selected.

  5. Select a sort order from the Sort Order lookup.
  6. Select one or more relief shifts to offer in the Selected Shifts panel.
  7. Optionally, specify additional filter criteria:
    Availability
    Select one or more of these availability settings:
    • Available: Shows employees that are available for the entire duration of all offered shifts.
    • Partial Available: Shows employees that have explicit availability for part of the offered shifts (part of one shift, or subset of multiple shifts). For example, when offering multiple relief shifts together, this option will return employees that are available for at least part of one of the shifts.
    • Unavailable: Shows employees that are explicitly unavailable for all of the offered shifts.
    • Partial Unavailable: Shows employees that have no explicit availability, and have explicit unavailability for part of the offered shifts (part of one shift, or subset of multiple shifts).
    • Unknown: Shows employees without availability information for all of the offered shifts.

    If left blank, all employees that match the filter criteria are returned regardless of availability.

  8. Click Refresh. A list of employees that matches the filter criteria is displayed in the Employee Pool panel.
  9. Review the shifts in the Selected Shifts panel and employees in the Employee Pool panel.
  10. Select the shifts that you want to assign to an employee in the Employee Pool panel. Hover your cursor over a shift to view details about the shift including the start time, end time, shift type, etc.
  11. Select the quick link icon:
    • Accept All: Accepts all your selected shifts.
    • Open Employee Call Pop-up: Accepts each of your selected shifts individually or in groups. See Employee Call Pop-up.
    Note: 
    • Hover your cursor over an employee to view more details about the employee.
    • If a shift code has an underline, click the code to display a window with more details about the shift.

    The system displays a message asking you to confirm your assignments.

  12. Click OK to confirm your assignments. Your selected shifts are assign to the employee that you specified.
