Self-scheduling window

Self-scheduling windows define the times when employees in a self-scheduling group can select shifts from a self-scheduling process. The window start and window end times for each group must be done in the Process Window section. If a group set is being used, a row for each group within the set appears in the Process Window section. The window start and window end days and times are pulled from the process definition settings. However, the days and times can be changed as long as the dates do not go outside the process definition dates and times.

For example, if you attempt to change one group’s window start date to be a day before the process definition start date, then an error message is displayed when you save. You must adjust the date to continue.

If a team does not have group sets configured because they have associated all their employees to one group, you can bypass the Group Set lookup and click the Add Window button. You can then add the individual group. However, even if you have already used a group set, the Add Window button is still of use as a blank row will appear and can be configured as desired. This blank row can be used for including an outside group for this one process. Therefore permanently associating the group to the set is not advised.

The text in the opening and closing messages is used in the webmail sent to the employees. The webmail is sent to the group a few days before the window start and end dates to alert employees that self-scheduling will start or stop soon. In order for the message to send, the RTSS Notification Task must run.

Note: If the message send dates are in the past, the message will still get sent the day the RTSS Notification Task runs.
