Key Components

These components are used when preparing employees for use within the LFSO module:

Employee
The unique ID for the employee.
Last Name
The last name of the employee.
First Name
The first name of the employee.
Status
  • Active to search for employees with an active status. When employees are active, they are typically able to be scheduled.
  • Inactive to search for employees with an inactive status. Employees may be inactive because they have been terminated, are on a leave of absence, are seasonal employees, and so on. When employees are inactive, they are unable to be scheduled.

Status is identified based on the System Date value. If you want to see only active employees, you should set these filter values accordingly.

System Date

When searching for employees, the specific date within the application where you want to find employees with the specified filter values.

For example, you could search for employees with a) active status, b) as of the specified System Date, c) within the specified Staff Group.

Age Less Than
Specify an age value to search for employees under a certain age. You can use this field together with the Age Greater Than Or Equal field to search for employees within a specific age range.
Age Greater Than Or Equal
Specify an age value to search for employees of or over a certain age. You can use this field together with the Age Less Than field to search for employees within a specific age range.
Staff Group
The staff group to which the employee belongs.
Salaried
Indicates whether or not the employee is paid using a fixed salary.
Key Holder
Indicates whether or not the employee has a key to lock or unlock the location.
Location
The location to which the employee belongs (their home location). This lookup only displays corporate entities, stores, and departments.
Max Hours/Schedule
Maximum hours you want this employee to be allowed to work within the schedule period.
Min Hours/Schedule
Minimum hours you want this employee to have to work within the schedule period.
Max Hours/Day
Maximum hours you want this employee to be allowed to work per day.
Min Hours/Shift
Minimum hours you want this employee to have to work per shift.
Fixed Schedule
Fixed schedules apply the same shifts to the same days for the defined fixed shift pattern. The options are:
  • None - to indicate this employee is not assigned to a fixed schedule.
  • Only - to indicate this employee only assigned to a fixed schedule.
  • Partial - to indicate this employee is assigned to a fixed schedule for part of the schedule time and is available to be scheduled variably for the rest of the schedule time.
Apply Two Nights/Week Rule

Indicates whether or not the employee works does not work more than two nights per week.

The number of nights per week is configured using the Constraint: Max 2 nights per week after __ option on the Staff Rules tab. See Staff Rules and Employee-Specific Staff Rules.

Apply Max Shift/Day Rule

Indicates whether or not the employee can be assigned to more than the maximum number of shifts per day.

The maximum number of shifts per day is configured using the Constraint: Do not schedule staff more than ___ shift(s) per day option on the Staff Rules tab. See Staff Rules and Employee-Specific Staff Rules.

Exempt Status

Adds another factor to the schedule cost for both salaried and non-salaried (hourly) employees. Select:

  • A blank field indicates that no exempt statuses are applied to the schedule cost.
  • Hourly to specify that the employee receives overtime pay for overtime work.

    • Non-salaried employee’s cost = hours worked under OT Threshold * rate + hours over OT Threshold * OT multiplier * rate.
    • Salaried employee's cost = minimum hours * rate + hours over OT Threshold * OT multiplier * rate.
  • Management to specify that the employee does not receive overtime pay for overtime work.

    • Non-salaried employee’s cost = all hours worked hours worked * rate.
    • Salaried employee's cost = minimum hours * rate.
Minor Rule Exempt
Indicates whether or not the employee is exempt from minor age restrictions and regulations.
