Editing fixed shift patterns

Fixed shift patterns can be edited for individual employees. You can edit the shifts assigned to the employee and determine how the schedule optimizer interacts with the employee's fixed shift schedule.

  1. Select Scheduling > Schedule Optimization > Setup > Employee Shift Pattern.
  2. Specify an employee in the Employee field to edit the shift pattern for an individual employee. Or, specify a team in the Team field to edit the shift pattern for members of that team.
If you selected a team, then optionally select the Include Sub Teams check box to include members of sub-teams of the specified team.
  3. Select the start date for the fixed shift pattern from the Start Date field.
You cannot edit shift patterns for dates that overlap published schedules. You can click the Calculate Start Date button to select the earliest schedule start date for the location that does not have a schedule generated.
Note: The SHIFT_PATTERN_SAVE_ALLOWED_FOR_SCHEDULED_WEEKS registry parameter controls if shift patterns can be edited for dates with unpublished schedules. Unpublished schedules must be regenerated to apply changes to fixed shifts.
  4. Click Load.
The fixed shift pattern is displayed for the selected employee or for an employee on the selected team.
  5. Select one of these options in the Fixed Shift Type drop-down to determine how schedule optimization interacts with the fixed shift pattern for the currently selected employee:
    None
The fixed shift pattern is not used. Schedule optimization is used to assign all shifts for the employee.
    Only
The employee is only assigned to shifts from the fixed shift pattern. Schedule optimization does not assign shifts to the employee.
    Partial
The employee is assigned to shifts from the fixed shift pattern as a baseline schedule. The employee may be assigned additional shifts by schedule optimization.
  6. Optionally, update the Number of Weeks field to configure a fixed shift pattern that spans multiple weeks and then click Refresh.
  7. Specify this information to create fixed shifts on each day of the week:
    Start Time and End Time

Specify the start time and end time of the shift.

Note: The times when the employee is available on each day are displayed in the Availability Pattern column for reference. These times are displayed as read-only and are controlled by the employee's availability pattern.
    Tied to Open/Close Time
Select one of these options to link the times of the fixed shift to the location's hours of operation. The start and end time of the fixed shift are adjusted based on these options when the hours of operation changes for the location.
    • OPEN: The start time of the fixed shift is compared to the Start Time of the hours of operation of the location to determine the offset.
    • CLOSE: The end time of the fixed shift is compared to the End Time of the hours of operation of the location to determine the offset.
    • REGULAR: The shift is not linked to the hours of operation. This option is selected if the drop-down is left blank.

For more details, see Using the "Tied to Open/Close Time" field in the Employee Shift Pattern form.

    Requirement
Optionally, select the staff requirement that the fixed shift covers. This automatically populates the Department, Job, and Activity fields to match the selected requirement.
    Department
Select the department for the fixed shift.
    Job
Select the job for the fixed shift.
    Activity
Select the work activity code for the fixed shift.
  8. Click Add to create additional fixed shifts on a day of the week.
Note: The Auto-Assignment model does not support multiple fixed shifts on the same day.
  9. Click Submit.
The fixed shift pattern is saved for the employee.
After saving the fixed shift pattern, you can use the Employee field to edit fixed shift patterns for other team members if a team is selected. To edit the employee's fixed shift pattern for other date ranges, update the Start Date and End Date fields and then click Refresh.
