Alerts

Alerts are automated Workmail messages that are designed to notify particular users about specific circumstances. For example, you can set up an alert to notify supervisors about employees that have clocked in late or clocked out early. An alert message consists of a message subject, a header, the report, and an optional footer.

The application provides these default alert tasks:

  • Not Clocked In: Lists employees who are scheduled to work, but have not yet clocked in.
  • Late or Left Early: Lists employees who arrived late or left early.
  • Clock Compliance: Lists employees who are not in compliance with the schedule compliance rule.
  • Budget Pending Alert: Sends an alert when the forecast or budget is pending (LB2).
  • Budget To Review Alert: Sends an alert when the forecast or budget is ready for review (LB2).
  • Unauthorized Timesheets: Lists employees with unauthorized timesheets.
  • Unapproved Time Alert: Sends an alert for unapproved time records.
  • Employees with Expiring Job: Lists employees who have a job qualification that is expiring in the next 60 days.
  • Employees with Expiring Skills: Lists employees who have a skill qualification that is expiring in the next 60 days.
  • Employees with Expired Job: Lists employees that are scheduled to work shifts with a job qualification that is expired.
  • Employees with Expired Skills: Lists employees that are scheduled to work shifts with a skill qualification that is expired.

Differences between alerts and reports

Alerts differ from scheduled reports in these ways:

  • Scheduled reports are sent regardless of whether they contain useful data. You can configure Workmail so that Alerts are only sent when useful data exists.
  • Alert messages can be sent to groups of users using defined system roles. Scheduled reports can only be sent to individual users.
  • Alerts are usually programed to run a number of times in a day to provide timely information to recipients. Scheduled reports can only be sent once each day.

Alert configuration

As the system administrator, perform these tasks to configure alerts:

  • Create alert tasks using alert definitions
  • Schedule alert tasks using the Job Scheduler
