Updating assignment dates

Changing employee assignments or placing employees on long-term absence (LTA) divides a row into sub-rows for each assignment segment. The Update Assignment pop-up can be used to adjust the dates in all the sub-rows of a selected row. This can save time because you can perform multiple changes to dates for assignments and LTAs together. This pop-up can also be used to change the leave code for existing LTA segments or to edit comments on assigned or unassigned sub-rows.

  1. Edit an MR or OTS.
  2. Click inside the Employee column in the row you would like to edit.
  3. Click Manage Assignment > Update Assignment.
  4. Update the information in the Update Assignment pop-up as needed to adjust the assignments. The table in the pop-up displays an assignment row for each sub-row of the selected MR or OTS row. The table includes these columns:
    Employee
    Displays the employee that is assigned to the assignment row or LTA period. This column is read-only.
    Start Date and End Date

    Displays the start date and end date of the assignment row or LTA period. The start dates and end dates can be adjusted as needed.

    Adjusting dates in one row may cause changes in other rows and may create new unassigned rows. Icons are displayed on any rows affected by the most recent change. You can hover the mouse over the icons to see additional information about the changes.

    These are the icons used to indicate changes to assignment rows:

    • An i icon indicates the row that was changed to initiate changes to the other rows.
    • An orange corner icon indicates that dates in the row have changed as a result of the most recent change. The affected dates are highlighted in orange.
    • A red ! icon indicates that the last change was not completed due to an unallowed overlap. A change in assignment is not allowed if it completely overlaps another employee's assignment segment. Changes are also not allowed that completely overlap an LTA period that is assigned to the same employee. These types of changes must be made as individual changes to unassign employees or cancel LTAs.
    Costing
    Displays if the cost of the assignment row is calculated using the row labor metrics or the employee's default labor allocation. This can be changed as needed.
    Leave Code
    Displays the leave code that is used to book off shifts during an LTA period. The leave code can be updated if needed. Similar to other LTA assignments, balances are checked when processing the schedule. If the new leave code consumes a balance, it is important to ensure that the employee has sufficient balance to cover the shifts.
    Temporary
    A green check mark indicates that the employee has be placed on temporary unassignment. This column is read-only.
    Comment
    Displays comments applied to the assignment row or LTA period. Comments can be edited as needed.
  5. Click Submit.
The specified changes are performed on the assignment sub-rows in the Schedule table.
