Booking time off using date ranges

Use this procedure to book-off shifts for a single employee over a date range. This procedure is a second method of booking off shifts and can be used in all the ASV edit modes.

You can also book off more than one date range with this procedure.

Note: To book time off using a date range, the date range cannot overlap a currently booked off shift. In addition, the employee's balance (for example, vacation) must have enough days available for the book off.
  1. Display the ASV view in which you want to book time off for an employee. See Displaying schedules with ASV.
  2. Click the Book off icon in the upper right corner of the window.
  3. Specify this information:
    Employee
    Select the employee for whom you are booking time off.
    Start Date
    Select the start of the date range that you want to book off.
    End Date
    Select the end of the date range that you want to book off.
  4. Optionally, click Add date fields if you need to more Start Date and End Date fields.
  5. Click Load to load the employee's shifts for the specified date range.
  6. For each of the shifts that you want to book off, specify this information:
    Start Time
    Specify the start of the time range that you want to book off.
    End Time
    Specify the end of the time range that you want to book off.
    Book-Off Code
    Select the leave activity that describes the time off. For example, SICK for illness or VAC for vacation.

    If the leave activity specified in this field is mapped to a time off type, then an approved LTA will also be added to the Time Off Planner on behalf of the employee.

    Send To Relief Queue
    Select the code that specifies how the time off should be handled by the Relief Queue. For example, UNFILLED for a shift that needs to be filled or RNN for relief not needed.
    Leave Reason
    Select a reason for the time off. This field can be optional or required.
    Comments
    Specify any additional comments. This field can be optional or required.
  7. Click Submit. Your selected ranges are booked off and relief shifts are generated.
