Canceling booked time off

  1. Display the ASV view in which you want to cancel booked time off for an employee. See Displaying schedules with ASV.
  2. Click the Edit Mode icon in the upper right corner of the window.
  3. Select Details Edit.
  4. Select the booked off shift that you want to cancel. The details edit mode panel is displayed below the shift.
  5. Click Cancel Book-Off. The Cancel Book Off window is displayed.
  6. If the original shift was booked off using multiple book off transactions, check boxes are displayed for each partial shift. Select the check boxes for the partial shifts that you would like to cancel the book off for.
  7. If the original shift was booked off from a approved time off request that is recallable, select Cancel Request to recall the time off request, or select Keep Request to set the status of the time off request to Pending Approval.
    Note: Book offs created from non-recallable time off requests can only be canceled by the requesting employee. Any additional shifts included in the time off request are displayed, and you can select which booked off shifts you want to cancel. For more details, see Canceling booked off shifts resulting from approved time off requests.
  8. If relieving employees have been assigned to the booked-off shifts, select one of these options from the Relief Option drop-down list:
    • AR Relief: Assigns the Action Required status to allow supervisors and managers to determine if they want to keep the relieving employees assigned to the shift.
    • Retain Relief: Keeps the relieving employees assigned to the shift.
    Note: If the relief shift has been assigned to a relief employee and part of the relief shift is no longer worked by the relief employee, then the book-off can no longer be canceled using this procedure. This condition can occur when part of the shift is swapped, floated, or booked off. This condition can be canceled by undoing these operations one at a time in the order in which the operations were applied.
  9. Click Submit.
    If the result of canceling an OFF-type book off (which restores the original shift) would cause a partial overlap with another shift of the same employee, you will receive a warning message indicating the impacted shift(s). The warning message visually presents the shift overlap situation, as well as the resulting schedule if the overlap is managed. If you proceed with the cancel book-off transaction, then the impacted shift(s) will be shortened to accommodate the transaction as shown in the warning, resulting in consecutive shifts.
    Note: If the overlap completely covers an impacted shift, then the cancel book off is not permitted and an error message is displayed. Similarly, the cancel book off is not permitted if the overlap includes booked off time with another shift.
    Canceling a TIME OFF-type book off cannot lead to an unexpected time overlap as you cannot add an overlapping shift during the booked off time.
