Unstaffed Shift Reconciliation

The Create Unstaffed Shifts process must be synchronized with the staffing requirements and other processes that occur within the system outside of the MVS. That is, if a change to the staffing requirements (or other pertinent data) occurs, you must ensure that the unstaffed shifts process is updated to reflect those changes by reconciling the schedule. When you do so, you are reprocessing the selected team(s) and schedule period to create any unstaffed shifts required due to schedule or employee changes since the Create Unstaffed Shifts process was run.

For example, if Jane, who is assigned to your current schedule, suddenly becomes unavailable due to a death in her family, she may be assigned an LTA override. (This unassigns her from any scheduled shifts within the affected time frame and marks her unavailable for any future scheduling within the affected time frame.)

If Jane was scheduled to work two of the three days to which she is now assigned to an LTA override, you would need to reconcile the schedule in order to see that the shifts she had been assigned are now unstaffed and resolve the new unfulfilled staffing requirements in the schedule.

Reconciliation is mainly necessary in cases where changes occur outside of MVS. For example, if Jane’s LTA override was assigned through the timesheet. (If the LTA was applied within the MVS, there would be no need for synchronization.)

You can reconcile the schedule in the following ways:

  • From the Navigation Panel, using the Reconcile Unstaffed Shifts check box.
  • In the Copy panel, using the Reconcile Copied Shifts check box.
  • In the RTSS, following a Close operation. For more information, see the Real-Time Self-Scheduler Guide.
