Usage Scenario

Two stores (A and B) share these hours of operation:

  • Open 5 days a week

  • 8 hours per day

  • Closed the last 2 days of the week

Store A has two employees, Tony and Jon. On week 10, the manager of Store A (home location) has a generated schedule where Tony works full-time all 5 working days and Jon is scheduled only for the first 3 days of the schedule.

Store B (borrow location) is understaffed towards the end of the week and needs an employee to fulfill its demand. Store B Manager submits the Employee Loan Request form to ask Store A Manager to loan an employee to their store for days 4 and 5 of week 10 (the borrow period).

Since Jon is available, Store A Manager decides to loan him to Store B by approving the Employee Loan Request. Once approved, the system automatically assigns the appropriate temporary team assignments and updates employee’s status on the respective schedules. The employee will also be notified (using Messages functionality) that the employee has been loaned. If the request is rejected, the initiator of the loan request will be notified.

On Store A’s schedule, Jon’s assigned shifts on days 1 to 3 continue to display and Jon will now display with loaned status on days 4 and 5.

On Store B’s schedule, Jon is now listed with borrowed status on days 4 and 5 in the Staff Not Scheduled section. (On days 1, 2 and 3, Jon’s would display with the unavailable status to show that those days were not within the established borrow period.)

If Jon is not immediately eligible to do the required job in Store B, the Store B Manager must make him eligible to perform that job. Store B Manager can now assign Jon to shifts in the Store B location on day 4 and 5 of the schedule.

If an employee in Store B suddenly becomes available and Jon is no longer needed, Store Manager B has the option to cancel the loan using the Loan Employee Cancellation form. This form can only be used to cancel employee loans when the borrowed employee has not been assigned to any shifts in the borrow location.

When Store B publishes its schedule for week 10, Jon is assigned to shifts for Store B on days 4 and 5. When Store A publishes its schedule for week 10, Jon is assigned to shifts for days 1 to 3.
