Floating employees to new shifts using drag and drop

You can float an employee from their existing shift to a new ad-hoc shift. This can be used, for example, to assign employees from the float pool unit to units that are understaffed.

  1. Load a schedule.
  2. Locate the shift card for the employee you want to float. The shift card can be anywhere in the Schedule Zone or Float Pool Zone.
  3. Click and drag the employee's shift card to the section for the job and unit combination that you want to add the shifts to. The unit and job combination must be in the Schedule Zone.
    The Float Shifts pop-up is displayed. The unit and job for the new shift are pre-populated based on the job and unit combination you selected.
  4. In the Float Employee section, select the Float Code that you want to use when booking off the overlapping portions of the employee's original shift.
  5. If there are booked off activities in the middle of the overlapping time between the original shift and the unassigned shift, select the portion of the original shift to include in the float transaction using the Time radio buttons.
  6. In the To Open Shift section, specify this information for the shift that is being created:
    Date
    Specify the start date for the new shift.
    Shift
    Specify the shift label for the new shift.
    Time
    Specify the time range in the new shift to be assigned to the employee. The employee can be assigned to cover the entire shift or a portion of it. The float time selected must overlap some portion of the employee's original shift. The float time may not extend beyond the start time or end time of the new shift.
    When shift times are specified, the Leftover sections are populated to indicate portions of the shifts that are outside of the specified times:
    • In the Float Employee section, leftover times of the original shift remain assigned to the employee when the float is completed, not including booked off times.
    • In the To Open Shift section, relief shifts are created for any leftover times of the unassigned shift when the float is completed.
  7. For overnight shifts, select one of these options in the Detail Day drop down:
    • Select Next if the float period starts the day after the date selected for the new shift. For example, you would select Next if the date for the new shift is Tuesday, but the selected float period starts on Wednesday morning.
    • Select Previous if the float period starts the day before the date selected for the new shift. For example, you would select Previous if the date for the new shift is Wednesday, but the selected float period starts on Tuesday.
    • Leave this field blank if the float period starts on the same day as the date selected for the new shift.
  8. If there are any times leftover in the new shift, select the statuses to apply to the relief shifts in the Relief Status drop downs.
  9. Optionally, specify comments for the float transaction.
  10. Click Submit.
    The float transaction is validated to ensure that it does not cause schedule compliance warnings or errors, that the float times selected are valid, and that the employee has the required qualifications to work the new shift. Otherwise, a list of warnings or errors is displayed in the pop-up.
  11. If warnings or errors are found, perform one of these options:
    • If only warnings are found, you can optionally enable the Approve Schedule Compliance Warnings check box to approve the warnings when the float is completed. Click Submit again to confirm the warnings and perform the float. Or, update the selected options or click Close to cancel the float.
    • If any errors are found, the float cannot be completed. Update the selected options or click Close to cancel the float.
The new shift is created and the employee is floated into the shift. Relief shifts are created for any leftover portions of the new shift.
