Regenerating the full schedule for Auto-Assignment

Use these steps to regenerate unpublished schedules that were generated using the Auto-Assignment model.

  1. Select Scheduling > Schedule Optimization > Display a Schedule.
  2. Click Edit on the row for the schedule you would like to regenerate.
    Note: The schedule must start on the current date or in the future.
  3. Click the Regenerate button.
    The Auto-assignment Schedule Regeneration pop-up is displayed.
  4. Specify this information to include shift transitions in the regenerated schedule:
    Min Transition Length (Hours)
    Specify the minimum number of hours that an employee can be assigned to cover a single staff requirement, which includes a combination of a job, activity, and department. This minimum length must be specified in whole hour increments.
    Max Transitions per Shift
    Specify the maximum number of times an employee can transition from one staff requirement to another staff requirement during a shift. The maximum number of transitions that is supported by the optimization engine is 2. Specify 0 to disable shift transitions in the regenerated schedule.
  5. Select the Enforce Schedule Crossover check box to enable crossover shifts, which overlap the end of the current schedule period and continue into the next schedule period, in the regenerated schedule.
  6. The Auto-Assignment group or groups used to generate the schedule are populated in the Groups section. Optionally, perform these steps to change the groups for the regenerated schedule:
    • Add groups by selecting them from the Group(s) field and clicking Add.
    • Remove groups by clicking the trash can icon.
    • Click and drag the groups to set the Priority order. The group with the Priority value of 1 selects employees first based on the group's employee filters, followed by other groups in ascending order.
  7. Select one of these options to determine how to regenerate the staffing requirements from the Staffing Requirements drop down:
    • Load requirements minimum from location info: Replace the existing staffing requirements with the minimum staffing requirements that are defined for the location.
    • Calculate requirements from the forecast: Regenerate staffing requirements based on the current forecast. This option can be used to account for actual sales data recorded since the schedule was originally generated.
    • Load existing requirements: Regenerate the staffing requirements using the current workload generated for the location.
  8. Select one of these options to determine how to regenerate employee assignments in the Staff Assignments drop down:
    • Regenerate: Regenerate the entire schedule. This option deletes all existing shifts in the schedule and generates and assigns shifts to cover the updated staffing requirements.
      Note: Any manual adjustments made to the schedule are lost when using this option.
    • Have the system assign staff but keep the existing assignments: Adjust the schedule for changes in staffing requirements. This option generates unassigned shifts to cover any increases in staffing requirements. Unassigned shifts are assigned, if there are qualified employees available. Existing unassigned shifts may be deleted from the schedule if they would contribute to overstaffing after the staffing requirements are regenerated.
  9. Click Go and then click OK.
The schedule is regenerated according to the selected options. The Auto-Assignment feature sends you a workmail notification when the schedule regeneration is complete. The workmail includes a link to view the generated schedule.
