Routing notifications by time off type

By default, all time off request notifications are routed to the roles that are specified in the ROLES_TO_NOTIFY_ON_NEW_REQUEST registry parameter. For more flexibility, you can route notifications of time off requests to different roles, depending on the time off type. For example, you can route notifications for vacation requests to a supervisor and maternity leave requests to an HR administrator.

  1. Select Maintenance > Balances And Accruals > Time Off Type Setup.
  2. Click the Edit link next to the time off type for which you want to route notifications. The Time Off Type Setup - Details page is displayed.
  3. Scroll down to the Time Off Type Role Setup section of the page.
  4. Click the new row button, and specify this information:
    Assigned Role
    Select a role to associate with the time off type.
    Notify
    Ensure that this check box is selected. Users who are assigned to the selected role are notified of time off requests for this time off type.
    Approver
    Optionally, select this check box to enable the selected role to approve time off requests for this time off type. Users who are not notified can still be configured to approve.

    Level
    Select the level associated with this role from the lookup. You can define up to three levels of notifications and approvals for each time off type. More than one role can be configured for a level.

    Upon saving, these restrictions are enforced:

    • The same role cannot be configured for multiple levels.
    • Each level except level 1 must have a previous level.
    • Update or removal of levels cannot cause a gap between levels.
    Note: If the Auto Approve option is selected for the time off type and approver roles are provided in the Time Off Type Role Setup section, the WORKBRAIN user must be a level 1 approver of the employee's team. Otherwise, an error is displayed when the employee submits the time off request.

    To associate more roles to this time off type, click the new row button.

  5. Click Save.
Only the roles that are specified in the Time Off Type Role Setup section with Notify selected are notified of future time off requests for this time off type.
Note: 
  • If a time off type does not have any role(s) configured to be notified, then the roles defined in the ROLES_TO_NOTIFY_ON_NEW_REQUEST registry will be used.
  • If a time off type has roles configured to be notified but no user(s) matching the specified role(s) are found, starting from the employee's team and working up the team hierarchy, then the roles defined in the ROLES_TO_NOTIFY_ON_NEW_REQUEST registry will be used.
  • If a time off type has roles configured to be notified and user(s) matching the specified role(s) are found, then the ROLES_TO_NOTIFY_ON_NEW_REQUEST registry parameter is ignored.

If a request includes multiple time off types, then all parts of the submitted request are included in the notification. The notification is routed to all users who are assigned to a specified role on the employee's team for one of the time off types.
