Submitting requests on behalf of an employee

As a supervisor, you can submit time off requests on behalf of your employees.

  1. Select Time Off Approval.
  2. Click the New Time Off icon. The New Time Off window is displayed.
  3. Specify this information:
    Employee
    Select the employee who you want to submit the request on behalf of.
    Type
    Select the time off type that categorizes the time off that you are requesting.

    The employee balances for the selected time off type and start date of the request are displayed in the popup.

    If a time off reason is required for the selected time off type, the required indicator (*) is displayed in the Reason field. If a comment is required for the selected time off type, the required indicator is displayed in the Comment field.

    Partial Day

    Select this check box to indicate a partial day off request. Specify the time that you are requesting off in the Start Time and End Time fields.

    If a minimum interval is displayed in the window, then you are prohibited from submitting a request that does not adhere to that minimum interval for the selected time off type. For example, if the SICK time off type has been configured with a minimum interval of 60 minutes, the duration of all partial-day SICK requests must be in 60-minute intervals (60 minutes, 120 minutes, 180 minutes, and so on). A duration of 45 minutes or 90 minutes is not allowed. The duration is always calculated as End Time - Start Time.

    Note: The option for a partial day is only displayed if the time off type has been configured to allow partial days off.
    From
    Select the start of the date range that you are requesting.

    If the TOP_SHOW_SCHEDULE registry parameter is set to true, the employee's schedule information for the date of the request is displayed in the popup.

    To
    Select the end of the date range that you are requesting.

    When entering a request for multiple days, "multi-day request" is displayed in lieu of the employee's schedule information.

    Reason
    Select a reason that describes why you are requesting the time off, if applicable.

    Not all time off types have associated time off reasons. If the lookup is blank, specify a reason or additional information in the Comment field.

    Comment
    Specify any additional comments.
    Attachment
    Click Choose File to attach a supporting document to the request, if applicable. You can attach a PDF, DOC, DOCX, PNG, JPEG, or JPG file.

    For example, when requesting time off for jury duty, you can include a copy of the summons with the request.

    Auto-approve
    Select this check box to automatically approve the submitted request.

    If the request requires multi-level approvals, upon approving the request, the request is routed to the next level of approvers, if applicable. Sub-level approvers are bypassed. See Multi-level approval workflow.

    Note: If you selected a time off type for which you do not have approval permission, the check box will not be displayed.
  4. Click OK.

If the employee has sufficient balance for the request and the request passes all other relevant validation constraints, then the request is submitted.

If you selected the Auto-approve check box, the request is approved automatically. Otherwise, the request remains in a pending state until it is approved.

The employee on whose behalf you submitted the request is sent a notification of the request. In addition, the employee can see the request on the Time Off Calendar.

If the request does not pass all the relevant validation constraints, then a validation message is displayed.
