My Schedule

Offers this functionality:

  • Provides a weekly view of user schedules and the ability to see schedule details for a shift.
  • Ability to view time off (LTAs) and holidays on the user's schedule.
  • Ability to view co-worker schedules one week at a time and to see schedule details for a shift.
  • Ability to view time off (LTAs) and holidays on co-worker schedules. The specific type of LTA is not listed for privacy reasons.
  • Ability to make a shift swap or shift giveaway request based on the core Shift Trade form including partial requests and selecting employees outside of the user's home team. When the request is routed to the other user involved in the request, that user can approve or reject the request. The user who initiated the request gets a message indicating whether the request was accepted or rejected. If there are schedule compliance warnings, the manager must make a decision before the workflow can proceed.
  • Ability to claim an available shift using the Shift Billboard.
  • Ability to post shifts to the Shift Billboard from the user's schedule.
  • Ability to view schedule compliance warnings on existing and available shifts.
  • Ability to link the user's schedule to an external calendar application such as Google Calendar using a URL that is generated for that employee. To subscribe, users can copy the URL and add it to their external calendar manually. Users accessing mobility from an iOS mobile device or from a desktop Windows device can also tap or click the Add to Calendar button to subscribe automatically.

Shift Billboard

This feature lets employees claim shifts that have been posted to a common area called a Shift Billboard. The billboard displays the shifts that have been posted by managers or employees. The shifts can be claimed by employees who want to pick up extra shifts. Claims must pass the required validations and approvals before the new shifts are reflected in the employee's schedule.

Employees can also post shifts from their schedule to the billboard. Shift posts must pass the required validations and approvals before the shift is made available for other employees to claim. Posted shifts remain in the posting employee's schedule until the shift is successfully claimed by another employee.

When a posting or claiming request requires approval, a message is sent to the user that is responsible for approving or rejecting the request. This user can access this message in the My Messages widget in mobility and can approve or reject the request directly in the message.

The My Schedule page provides a user with their schedule and billboard information directly on a single calendar.

This functionality is available on the calendar:

  • Filter icon: Filters the available shifts by unit, job, shift, or day part. The filtering options persist until the user logs out of the application. When the user logs back into the application, all available shifts are displayed on the My Schedule page.
  • Refresh icon: Refreshes the calendar to view the latest information on available shifts.
  • Available shifts indicator: Indicates the number of available shifts on each day. On days with available shifts, clicking on the day takes the user to the Schedule Detail page if the user has a schedule on that day. If the user does not have a schedule on that day, then clicking on the day takes the user directly to the Available Shifts page.
  • Schedule Compliance indicator: Indicates a schedule compliance violation on an existing shift (does not apply to available shifts). To see the details of the compliance violation, the user must click on the day to view the Schedule Detail page.
  • Posted to Shift Billboard indicator: Indicates the user has posted the shift to the Shift Billboard. The indicator shows a check mark when a shift has been successfully posted to the billboard. It shows an ellipses when a shift post is pending because it is waiting for approval or for any other reason.

This functionality is available on the Schedule Detail page for Shift Billboard:

  • Available Shifts icon: Opens the Available Shifts page, if there are available shifts on that day.
  • Post a Shift icon: Opens the Post a shift pop-up, where the user can post the selected shift to the billboard. Users can edit the start time and end time to post a portion of a shift and can add comments to the shift post.
  • Posted to Shift Billboard indicator: Indicates the user has posted the shift to the Shift Billboard. The indicator shows a check mark when a shift has been successfully posted to the billboard. It shows an ellipses when a shift post is pending because it is waiting for approval or for any other reason.
  • Withdraw a Billboard Shift icon: Users can click this icon to remove a shift that they have posted from the billboard.
  • Schedule Compliance indicator: Includes a collapsible section to show/hide the compliance details for existing shifts (does not apply to available shifts). By default, the details are hidden.

The Available Shifts page displays shift detail cards for each shift that the user may claim from the billboard. When there are multiple shifts available on the same day with identical details, one shift detail card is displayed for the identical shifts with the number of shifts available displayed in the Total Available field. Because of this, the number of shift detail cards displayed may not equal the number of shifts available that is displayed for the same day on the calendar or Schedule Detail page.

This functionality is available on the Available Shifts page:
  • Claim button: Users can click this button to claim a shift. At the confirmation message, the user can click Yes to attempt to claim the shift or click Cancel to return to the Available Shifts page.
    Note: While on this page, another user could claim the shift or the shift could be removed from the billboard. If the shift is no longer available when the user clicks Yes, another message is displayed to inform the user.
  • Schedule Compliance indicator: Includes a collapsible section to show/hide the compliance details for available shifts. By default, the details are hidden.
    Note: Users can attempt to claim a shift with a compliance warning, but it may require additional validations or approvals before the shift can be successfully claimed. Users cannot attempt to claim a shift with compliance errors. Shifts with compliance errors are included in the list of available shifts, but the Claim button is not displayed on the shift detail card.
