Regenerating schedules mid-week for Auto-Assignment

Use these steps to regenerate published schedules that were generated using the Auto-Assignment model. Regenerating a schedule using this option generates shifts to cover any increases in staffing requirements. Auto-Assignment may assign these shifts to employees, if there are qualified employees available, or may leave the shifts unassigned. Existing unassigned shifts may be deleted from the schedule if they would contribute to overstaffing after the staffing requirements are regenerated.
Note: Shifts assigned using this method are directly added to the timesheet for assigned employees. Shifts can be assigned on the same day as the shift start time or less than 24 hours before the shift start time. Assigning shifts close to the shift start time may not comply with fair scheduling laws in certain states or jurisdictions. It is recommended to consult local regulations before regenerating published schedules.
  1. Select Scheduling > Schedule Optimization > Display a Schedule.
  2. Click Edit on the row for the schedule you would like to regenerate.
    Note: The schedule must start on the current date or in the future.
  3. Click the Regenerate button.
    The Regenerate Schedule pop-up is displayed.
  4. Select the Start Date for the schedule regeneration. The specified start date must be today or in the future.
  5. Select the Auto-Assignment groups that you would like to use to regenerate the schedule in the Group(s) field, and click Add.
  6. If you have selected more than one Auto-Assignment group, click and drag the groups to set the Priority order. The group with the Priority value of 1 selects employees first based on the group's employee filters, followed by other groups in ascending order.
  7. Select one of these options to determine how to regenerate the staffing requirements from the Staffing Requirements drop down:
    • Load requirements minimum from location info: Replace the existing staffing requirements with the minimum staffing requirements that are defined for the location.
    • Calculate requirements from the forecast: Regenerate the existing staffing requirements from the current forecast. This option is useful to adjust the forecast to account for the actual sales data recorded since the schedule was originally generated.
    • Load existing requirements: Regenerate the existing staffing requirements using the current workload generated for the location.
  8. Select Have the System assign staff but keep existing requirements from the Staff Assignment drop down.
  9. Click Go and then click OK.
The schedule is regenerated according to the selected options. The Auto-Assignment feature sends you a workmail notification when the schedule regeneration is complete. The workmail includes a link to view the generated schedule.
