Scheduled Due-Date Alerts

The Budget Management module can use the following Job Scheduler alert tasks during the solicitation process. These tasks remind budget managers when they must submit their changes to their parent locations:

Alert Task Context in which the Budget Management Module Uses this Task
Pending Due Date The current budget manager must submit the budget/forecast by the due date, and the corresponding location is in Pending state.
To Review Due Date The current budget manager must submit the budget/forecast by the due date, and the corresponding location is in To Review state. This state means that the budget managers of all the child locations have already submitted their changes.

When these alert tasks are set, the application monitors the budget/forecast activities. If a budget manager has not performed the required action by the due date, that budget manager and the parent budget manager receive a Workmail message each time the alert runs.

If a location does not have an assigned budget manager, then the application does not send a message, because there is no one to receive it.

If a due date passes without the required action, the budget/forecast is not automatically submitted to the next level. The application continues sending messages as long as the state of the location is unchanged.

When you set up scheduled (due date) alerts, you can:

  • customize the text in the notifications
  • set different pending due dates and to review due dates
  • set different due dates for each location type
  • specify how many days before the due date to start sending notifications

Scheduled alert jobs run on a set schedule. When an alert job runs, it determines whether to send a notification based on whether the specified conditions are met.

The number of required scheduled alert tasks depends on:

  • the number of defined location types in the system
  • the number of states for which to create an alert
  • the due-date attributes to use

Since the leaf location type does not have child locations, it never receives the To Review alert.
