Creating a debit memo for an underpayment

If the amount you receive from a customer is less than the expected amount, you can mark the invoice paid in full and post the difference to the customer’s account as a debit memo.

  1. Select Customer > Entry > Cash Receipt.
  2. Click OK to open a journal.
  3. Select the Payment or Split Check in the Type field.
  4. If you are receiving a check, specify the check number.
  5. Specify the amount of the check or cash.
  6. Click Next.
  7. Select a record type in the Type field.
  8. Specify values for the appropriate fields.
  9. If you interface to Check Reconciliation, select a bank.
  10. Click Next.
  11. Select the invoice.
  12. To pay the invoice in full, click Paid In Full.

    Notice the negative proof amount. This is the amount of the debit memo you will create.

  13. Click Debits, and then specify an existing invoice number to be debited, or specify a new invoice number to be created for the unpaid amount.
  14. Specify the amount of the debit.

    The proof amount should now be zero.

  15. Click Add, and then click Save.
  16. Click Yes.
