Selling stock from an alternate warehouse

You can set up warehouse cross-references in Product Extended Warehouse Cross Reference Setup. Then, during Sales Order Entry, if you do not have enough product on hand, you can select the product from an alternate warehouse that has existing and surplus stock.
Note: Use this if you have implemented 3PL functionality to manually enter an order for stock in a customer’s warehouse when there is not enough stock to fill the order from the customer’s inventory. Alternate warehouses must be set up for the customer’s warehouse. During order entry, if you have entered an order for an item in your customer’s warehouse and there is insufficient stock, you can manually split the line.

When an alternate warehouse is available for the product, the Warehouse Availability view is displayed in the Add Line Item section. The available alternate warehouses are listed in the view's grid. This record contains a list of all the warehouses from which you have permission to transfer stock.

The product is reserved in the alternate warehouse and an automatic warehouse transfer is created after your order is invoice processed.

  1. Select Sales > Entry > Order.
  2. Add or maintain an order.
  3. In the Add Line Item section, specify a product and quantity.
  4. If there are insufficient quantities in the warehouse on the order, and the warehouse is cross-referenced with at least one alternate warehouse, then click Yes to access the Warehouse Availability view.

    These warehouses are listed:

    • All warehouses that are cross-referenced as an alternate warehouse in Product Extended Warehouse Cross Reference Setup, regardless of the quantities available. The check box in the Valid column is selected for these warehouses.
    • All warehouses with quantities available that are not cross-referenced as an alternate warehouse.
    • The ARP warehouse.
  5. Select the warehouse from which to sell the product, and then click Submit.
  6. Click Add.

    After you add the line to the order, the warehouse from which the product is sold is annotated in the description on the Edit Lines page. For example, From: 03 (from warehouse 03). If you select a warehouse from which you are not authorized to sell, then a backorder is created

  7. Finish the order.
