OT Admin Purge Tracking and Vessel Documents overview
Function acronym: OTAP
Use this function to purge inactive or closed vessel and tracking documents that were created in Overseas Trade. Inactive tracking and vessel documents remain in the OT system until they are purged.
Purge on a regular basis to remove inactive records. They are not used for any history reporting function and can clutter OT inquiry pages.
When the purge process is run, it starts at the line level. The purchase order lines attached to individual tracking documents are reviewed. Purchase orders are removed from the tracking document when:
- all PO lines associated with a tracking document are received
- the tracking document is in Closed stage
Then the tracking document is purged. When tracking documents are purged, they are shown on the report as having one line. Next, closed vessel documents with purged lines, tracking documents, are purged. If a vessel document in Closed stage exists with no lines associated with it, it is also purged. Closed vessel documents with no tracking numbers are displayed on the report with zero lines.
PO line records are not purged by this function. They are only removed from the tracking document before it is purged. The internal POEL line records still exist in the database.
