Use this page to enter transactions that cannot be entered in Sales Order Entry.

This list includes examples of transactions that you cannot add in Sales Order Entry:

  • Invoices for charges, such as rent, that are not product-related
  • Rebates and miscellaneous credits that are not applied to a specific invoice
  • Credit memos, and debit memos that could not be applied in Sales Order Entry because payment was received against the invoice
  • Reversals of invoices that were created in Customer Transaction Entry, and service charge transactions

You can create these transaction types in Customer Transaction Entry:

  • 0 - Invoice
  • 1 - Service charge
  • 2 - Rebate
  • 5 - Miscellaneous credit
  • 6 - Credit memo
  • 8 - Debit memo
  • 9 - Reversal

Note: You cannot receive cash payments (3 - Unapplied cash), check payments (7 - Check record) and scheduled payments (11 - Scheduled Pay) through this function, so not all transaction types are available.

When you enter an invoice transaction, the terms that are specified on the Customer Setup record are displayed, but you can override the terms on the Manual Terms window. You can also manually distribute each transaction that is entered to specific General Ledger account codes. You can distribute to a maximum of 500 account codes for each transaction entered. The General Ledger account codes from Customer Setup are initially displayed according to the transaction being posted. If the account codes are not located, the operator record in SA Operator Setup is checked. If General Ledger accounts do not exist per operator, the R&D operator record is checked for the correct account codes.

All transaction types except rebates affect General Ledger. After you enter a transaction, the system automatically updates the customer’s AR Control account and posts the offset to the Sales/Income and Discount accounts.

Foreign currency

If you enter transactions for a foreign currency customer in Customer Transaction Entry, you can change the exchange rate for the current transaction. The exchange rate information comes from the Sales Exchange Rate field located in SA Currency Setup.

Note:  You must enter all currency amounts in the customer’s foreign currency.

If the operator updates the exchange rate, the rate on the SA Currency Setup record is automatically updated. The update occurs only after the entire Customer Transaction Entry record is updated. If the operator exits or cancels the record,the rate is not affected.

The current Customer Transaction Entry General Ledger displays the amounts that were converted to domestic dollars. For example, if you entered a transaction for $100 Pesos, $150, at a 1.50 exchange rate, is displayed in the General Ledger.

After entering the customer and transaction type, click Update to open the Exchange Rate window. You can override the current rate for these transaction types: 0 - invoice, 1 - service charge, 2 - rebate, 4 - COD, and 5 - miscellaneous credit. The exchange rate from the original transaction is used for these transaction types: 6 - credit memo, 8 - debit memo, and 9 - reversal.
