Customer Inquiry - Credit Exposure field descriptions

Fields are presented in alphabetical order by section.

Credits

Available Credit

Displays the available credit. If negative, the customer is over the credit limit. The available credit calculation is: Credit Limit - Total Balance - On Order Balance = Available Credit.

Columns display values based on the group credit limit setting according to these conditions:

  1. If the group setup credit limit is applied to all members of the group. Then, the group credit limit is displayed in the grid for all members of the group. The available credit is based on the outstanding balance of all members of the group compared to the credit limit.
  2. If the group credit limit is applied based on hierarchy, either the Customer Master Group Setup, Customer Setup, or Customer Ship To Setup value may be displayed.
  3. If the group credit limit is set to zero and the Customer Setup/Customer Setup Ship To credit limit is non-zero, the Customer Setup/Customer Setup Ship To value is displayed.
  4. If the Customer Setup/Customer Setup Ship To credit limit is zero (0) and the group credit limit is non-zero, then the Customer Master Group Setup value is displayed.
  5. If Customer Setup, Customer Setup Ship To and group credit limits are non-zero, the smaller of the two values is displayed. That is the credit limit that first forces orders on hold.
  6. The credit available is found by comparing the credit limit displayed against the outstanding balance of the customer or ship to. If there is no group, or the group is bypassed, the Customer Setup/Customer Setup Ship To credit limit is displayed and used to determine the available credit.
Average Days

The customer’s Average Days to pay from Customer Setup-Credit. Each time an invoice is paid, this amount is recalculated. This is useful in determining how long, on the average, it takes this customer to pay outstanding invoices. This column is blank for ship tos.

Credit Limit

The amount of the customer's assigned credit limit. Influenced by the hierarchy type of group credit limit specified in Customer Master Group Setup-Credit.

Customer #

The customer number, set up in Customer Setup, associated with the transaction.

Hold Message

If there is a hold due to credit limit, a short description of the reason for the hold is displayed. For example: Over Lim (Group), Per <hold period> Ship To, No Sales

The message also varies based on the type of group hierarchy credit limit specified in Customer Master Group Setup-Credit. If a value from the group setup caused the hold condition, the text “(Group)” is added to the end of the message. The message text is set based on the credit limit, the hold period or the sales order status.

Name

The customer name set up in Customer Setup-General associated with the transaction.

Open Orders

The balances of all outstanding order types in Sales Order Entry that are Stage 1 (Entered) or greater, excluding future orders and C.O.D. orders. These are orders that have not been invoice processed. This amount is included when determining whether the customer is over their credit limit.

Past Due

The sum of Periods 2-5 in Period Balances for a customer or ship to.

Sales YTD

Total sales to this customer for the fiscal year.

Selected Balance

This sum is based on your selection in the Only if Past Due Balances Starting With field in the Filter By section. For example, if you select All, the value is the sum of Periods 2-5.

Ship To

The associated ship to, if you selected the Display Ship Tos option in the Filter By section.

Total

The sum of the Total Customer amount, all period and future balances, + open orders + service charges + miscellaneous credits + unapplied cash

You can review the amounts for miscellaneous credits, service charges, and unapplied cash on the Customer Inquiry – General. The inclusion of these components of the Total calculation is determined by the SA Administrator Options-Customers-Balances settings. When the Age Service Charges field is selected in SA Administrator Options-Customers-Balances, Memo Service Charges is displayed instead of Service Charges on the Customer Inquiry - General view. Under these circumstances, service charges are part of the period balances included in the Total Customer amount.

When the Age Miscellaneous Credits field is selected in SA Administrator Options-Customers-Balances, miscellaneous credits and unapplied cash are not displayed on the Customer Inquiry – General view. Under these circumstances, these amounts are part of the period balances included in the Total Customer amount.

Total Customer

The sum of period balances plus future balances for a customer or ship to. See the Total field for more information about what charges may be included in the Total Customer amount.

Type

The customer type specified in the Settings section of Customer Setup-General.
