Short-shipped quantities

If you use 3PL functionality, when an order cannot be filled in the customer warehouse or alternate warehouses, how the short-shipped quantity is handled depends upon several factors. If there is not enough quantity in either warehouse to fill the ordered quantity, any remaining quantity is attached to the customer-owned warehouse line. This ensures that the demand for replenishment of the short stock for the item falls within the customer’s warehouse. If the product is set up to require any lines to be back-ordered if not fully filled, the entire amount goes on a back order. This is determined by the Back Order All If Short option in Product Warehouse Product Setup.

The Customer Owned Short Sale setting in Product Warehouse Descriptions Setup-Other is also used to determine how to handle an order with a short-shipped quantity. If Product Authorized Replenishment Path Type is selected, replenishment for the product is created automatically when Transfer Entry Recommended Replenishment Action Report is run after the short-shipped quantity is transferred to a back order. A transfer from the distribution warehouse to the customer warehouse is then created. It is automatically billed to the customer using the WT Billed Order process when the transfer is received.

If you select Back Order Electronic Hold, the order is placed on electronic hold (e-hold), which is a type of hold specific to the SX.api OE Full Order Maintenance function. You must then perform one of these actions to manually process the order:

  • Source the line to a tied PO or WT order, override the ARP setting for the customer warehouse
  • Adjust the short-shipped line to prevent a back order
  • Create a separate line for the short-shipped quantity and then send it to lost business
  • Contact the customer for instructions

Back order creation follows a standard logic in Sales Order Entry. If any these statements are true, a back order is not created:

  • The product is superseded.
  • The product is a Do Not Reorder product.
  • The order is flagged as Ship Complete or Tag and Hold.
  • Allow Back Order is not selected.
