Viewing inbound PO acknowledgments in ETCC

  1. Select Electronic Data Interchange > Entry > Electronic Transaction Control Center.
  2. Specify this information in the Search panel:
    Process Type

    Select ION-BOD if you use ION processing.

    Select EDI if you use EDI flat files.

    Transaction Type

    Select EDI 855i PO Acknowledgement.

    Transaction Status

    Select Processed to view purchase orders that are partially processed but may need correction before processing can complete. Depending on your ETCC business rules, transactions that were fully processed may also be displayed.

    Select Error to find transactions that contain fatal errors that you cannot correct. After you review the documents, you can delete them. The vendor must correct the errors and then resend the transaction. You can delete the documents with fatal errors but it is not required. When the vendor resends the document, it is processed under a different Document ID.

    Update Status

    Select a status. To display transactions with errors or exceptions, select <All Open>.

  3. Specify a date range, and then click Search.
  4. From the Actions menu, you can perform these actions on the selected transactions in the grid:
    • Place on E-Hold

      Select a document, and then select Actions > Place On E-Hold to change Approval Type to E-Hold.

    • View Errors/Messages

      Select a document with a Status of Error, and then select Actions > View Errors/Messages to open view information about the error. Raw data from the transaction header may be displayed.

    • SX.e Document

      Select a document, and the select Actions > SX.e Document to view the document in the inquiry function. The document is identified in Reference column.

    • Approve Transaction

      If a transaction without errors or exceptions was manually placed on e-hold, select the document and then select Actions > Approve Transaction to remove the e-hold.

      You can also select Approve Transaction to approve exceptions on a transaction without errors, and remove the e-hold. We recommend that you first review the exceptions on the Error Detail or Transaction Detail pages before you approve them.

      If you approve exceptions on a transaction that has exceptions and restricted product errors, the order is approved. You do not have to address the restricted product errors.

      When you select Approve Transaction, the order may not be approved for processing. It may be placed on another type of hold, such as a credit hold.

    • Set Transaction Complete

      Select a document, and then select Actions > Set Transaction Complete to indicate that the transaction is complete. You can only select this option if the Update Status is blank. Use this option after you correct error or approve exceptions for an EDI 856 Advance Ship Notice.

      You can select this option for any EDI document transaction, but we recommend that you limit its use to EDI 856 Advance Ship Notices. After the Update Status is complete, you cannot reprocess the transaction in ETCC and must manually perform any updates.

    • Cancel Transaction

      Select a document, and then select Actions > Cancel Transaction to cancel the entire transaction including the header and all lines. Typically, you cancel a transaction with fatal errors, or if you want the vendor to resend the transaction. You cannot cancel processed transactions.

    • Update Transaction

      Select documents with a blank Update Status, and then select Actions > Update Transaction to reprocess the transaction. After you perform the update, Complete is displayed in the Update Status column.

      Documents with a blank Update Status did not contain errors or exceptions, or the errors and exceptions were corrected. Documents without errors are routed to ETCC for review if the Rule Value for the ETCC-ReviewReqd business rule is yes.

      You can also update documents with an Update Status of Exception but we recommend that you review any exceptions before updating the documents.

  5. To delete a document, select the document, and then click Delete.

    You can only delete transactions that meet one of these conditions:

    • The Status of the transaction is Error.
    • The Status of the transaction is Processed, and the Update Status is Canceled or Completed.

    You can also use the Electronic Transaction Control Center Purge Report to delete transactions.
