Customer Transaction Entry - Customer Transaction field descriptions

Fields are listed in alphabetical order.

Amount

The amount of the transaction. If you enter a credit memo against a specific invoice number, the amount of the original invoice is displayed. The amount of the credit memo cannot be greater than the amount of the original invoice. You are not required to enter the amount with a negative sign for miscellaneous credits, credit memos or reversals.

You cannot specify an amount on a reversal. Reversed invoices must be reversed for the total amount.

Date

The default value in the field is the current date, but it can be overridden. This date is written with the General Ledger and Accounts Receivable transactions. It indicates the date the transaction was entered. Because you determine which period to update on the journal, back dating or future dating does not affect the period that this transaction amount updates. Terms and due dates are calculated from the invoice date.

The due date is always equal to the invoice date, regardless of how the terms are set up in SA Table Code Value Setup.

Disputed
You can designate invoices, service charges, C.O.D. invoices and debit memos as disputed. Disputed invoices are not aged or service-charged. Payments can still be posted to disputed transactions in Customer Cash Receipt Entry.
Division

This field is available only if you use fully divisionalized accounting. The default value is from the Customer Setup record, but you can override it.

Invoice

Specify the invoice number for this transaction. The invoice number consists of the invoice number and a two-digit suffix. You must specify a new invoice number for invoices, service charges, C.O.D.s, credit memos, and debit memos. The suffix is 99 to indicate that the transaction was created in accounts receivable and not order entry. For each service charge that is entered, the current date is used as the invoice number with a 99 suffix. For example, the invoice number for a service charge that was entered on March 20, 2018 is 32018-99.

You cannot use duplicate active invoice numbers. After the invoice number becomes inactive, you can reuse it. You cannot use invoice numbers for rebates.

Reversal Invoice
Specify the reversal invoice for this transaction.
Sales Year To Date

Select this option to update the Sales Year to Date balance for the customer.

This option is selected if you enter these types of transactions, but you can clear it:

  • Invoice
  • COD
  • Miscellaneous Credit
  • Credit Memo

This option is not available if you enter these types of transactions:

  • Service charge
  • Rebate
  • Debit memo

If you enter a reversal, the option is selected or cleared, based on the reversal invoice.

Ship To

Specify a ship to number if this invoice applies to a specific ship to or job number.

Terms
Terms indicate when the payment is due and the amount of discount available if the invoice is paid within the specified number of days.The default value is the terms from the Customer Setup record, but you can override it. Terms can apply to invoices, miscellaneous credits, credit memos and debit memos. If Allow Credit Discounts in SA Administrator Options-Customers-Cash Receipts is not selected, you cannot set up terms for miscellaneous credits or credit memos.
