Purging your audit records
- Select System Administrator > Data Archive Purge > SAD Reports > Data Archive System Audit Log Tracking.
- Select New > One Time.

On the Options window, specify
the archive date.
The archive date minus the number of days to keep is the last date for which data is retained. Any data that is older and meets the deletion criteria is archived or purged. This date defaults to the current date unless overridden. If you are setting up parameters for a stored report, leave the default so that when the reporting service generates the report it reflects the current date.

Specify P for the (A)rchive and Purge or (P)urge
Only option to purge your archive data.
Purging alone does not copy the inactive information to disk or tape but removes it from the database. Use the purge method with extreme caution because there is no way to restore purged information that is not archived. Archive and purge saves all qualified inactive transactions to disk or tape and then deletes those transactions from the database.
- Select a detail level for your transactions. Retain No to print a summary of the file name and number of transactions archived or deleted. Select Yes to print the primary key data for each record that is purged. This may result in a lengthy report.

Optionally, specify a shell script file name.
If you specify a shell script file name for archiving, it is executed as a UNIX shell script to copy the archive file to another directory or to save it to off-line media. The tape command script is the name of a script that resides on your system in the
/rd/opsys
directory,depending on where your system files are located in SA All Company Information Setup. This script must be set up with the correct security, UNIX read and execute, for the operator who performs the archive function. During the archive process, the system appends.sh
to the name you enter in this field. For example, if you specify archive02 as the shell script file name, the script/rd/opsys/archive02.sh
is initiated. The script should contain a single UNIX command directing the output to an appropriate tape device on your system. For example:|

If you do not specify a shell script file name, the archive file is
archive.a
. This file name is appended to the directory name, which is the directory specified in the Print Directory field in SA Company Setup for UNIX systems unless a shell script file name is entered. If a shell script file name is specified, the directory/rd/opsys
is used. - In the Command Type option, specify F or D to indicate whether to use the tape command to archive data to a file on your system or directly to a tape device. The default is to a file. If you select the default and do not specify a shell script file name in step 6, the archived data is located in the directory named in the Print Directory field in SA Company Setup.
- In the Number of Days to Keep Records option, specify the number of days to be subtracted from the archive date to use as an endpoint for selecting records. For example, if you enter an archive date of 08/01/14, and a number of days to keep of 120, records with qualifying dates that fall before the period 04/02/14 to 07/31/14 are selected for archiving. If this field is zero or blank, no audit records are archived or purged.
- Specify the system table file name that you want to purge. For example, OEEH for Sales Order Entry headers or OEEL for Sales Order Entry lines.
- Specify the operator initials that you want to include in the purge for the table that was indicated in the Table Name option. If you leave this field blank, all operator records in the system for this table are purged.
- Finish the report.
