Overriding a product restriction on a sales order

Product Restriction Setup records are used to prevent products from being sold to unauthorized customers. Your company uses the record to comply with product restrictions that are mandated by government entities, distributors, or vendors.

When you specify a product on a sales order, the product is validated against the restriction records to determine if it can be sold to the customer or ship to. The product may be allowed, allowed with a certificate or license, not allowed, or not allowed without a restriction override option.

Note: A nonstock product can be restricted if it is included within the scope of the Product Category or Product Line restrictions. If the nonstock is a stocked or catalog product, the Product and Brand Code restrictions are applied.

If the record is allowed or allowed with a certificate or license, you can add the product to the order. The product restriction information is stored on the sales order line. If the product is not allowed, you must remove it from the order or override the restriction. You can only override the restriction if Yes is selected for the Allow Restriction Override setting on the applicable product restriction record. You must also have authority to override restrictions. This authority can be set up in SA Administration Authorization Security Setup or be manually granted by a manager.

Optionally, after you override the restriction and add the line to the order, you can send the line to lost business. You cannot identify restricted products as lost business without first adding the line to the order.

Note: Use the Personalization feature to add the Allow Restriction Override option and comment field to the user interface.

Use these instructions to override a product restriction on a sales order:

  1. Select Sales > Entry > Order.
  2. Create or maintain an order.
  3. In Advance Line Entry mode, specify a product.

    If a restriction does not allow the product, an error message is displayed. Click OK.

  4. If the restriction cannot be overridden or you do not want to override it, click Clear.
  5. To override the restriction to add the product to the order:
    1. Select Allow Restriction Override, and then specify a comment in the Override Comment field.
    2. Specify the quantity.
    3. Click Add.
    Note: If an order on e-hold was processed through Electronic Transaction Control Center, access Order Global in the Notes context application to view the restricted product and quantity before you override a product restriction or send the line to lost business.

    After the restriction is overridden, the line bypasses all further restriction validation processing for this sales order.

  6. Optionally, send the line to lost business:
    1. Click Edit Lines.
    2. Select the line, and then click Lost Business.
    3. Specify the reason for lost business, and then click OK.
  7. Finish the order.

    If you maintained an order, the existing lines and the requested ship date are re-validated against the product restriction records when you click Finish.

    If you suspend or place the order on hold in Sales Order Entry, product restrictions messages are displayed as warnings instead of errors. You do not have to address product restrictions on existing lines until you finish the order.
