Purchase Return Note form - Actions
- To carry out one of the following actions for the whole of the Purchase Return Note, select it from the Action menu within the Purchase Return Note form.

Specify this information:
- New Order
- Clears the current order from the screen ready for a new order to be entered.
- Schedule Order
- This option is not relevant to Purchase Return Notes.
- Delete All

Deletes all lines on the current Purchase Return Note. A warning message is displayed so you can confirm this action before it is carried out.
You cannot delete the whole of the order or invoice where an inventory update has been made against one or more of the lines. In this case you need to select the lines individually.
When a ledger posting has been made against one or more of the lines the system deletes all the lines on the PRN and reverses previous ledger postings.
- Hold and Release All
- Hold prevents further processing from being carried out until the Release option is selected. If a line is generated, or copied, the lines are automatically placed on Hold. Manually entered lines can also be placed on Hold if this has been defined in the Purchase Type. Releasing lines for a goods item triggers the Allocation action.
- Confirm All
- Confirms all lines on the Purchase Return Note and changes the details in the Confirmation Date, Confirmation Period and Confirmed By fields. This stage is defined in the Purchase Type and is mandatory for Purchase Return Notes. When confirmed, the inventory is issued. If you try to exit or raise a new order without confirming the lines, a message is displayed.
- Approve
- Used to approve an order if Approvals are in use.
- Advanced Generate
- This option enables you to generate, or copy, return note lines from the original order or invoice. It allows additional selection functionality, enabling you to select whole orders, multiple orders or multiple lines. When you select this option the Control Desk Filter Selection form is displayed.
- Generate Debit Lines
- The Generate Debit Lines form is displayed.
- Print All
- To use this action a Document Format must be associated with the current stage of the Purchase Order.
- Manual Allocations
- For Purchase Return Notes, inventory must be allocated to identify the receipts to be returned to the supplier.
- Receive Items
- This action is not relevant to Purchase Return Notes.
- Embed Std Para
- This option displays the Standard Text Language Variants form. This form enables you to attach a paragraph to the document to be printed.
- If you are using an existing order or invoice any standard text is copied onto the return note.
- Show Presets
- This option displays available presets for the line.
- Control Values
- This option displays control values as defined in the Purchase Type
- Save your changes.
