Searching for the required transactions
Use some or all of the following fields on the header of the form, as appropriate, to enter the criteria for the transaction you are searching for:
Note: You can clear the criteria you have entered by
selecting
Clear Screen from the
Action menu.
- To access this form, first select Inventory Receipt Note Entry (IRE) from SunSystems. This displays the Inventory Receipt Note Entry form. From the Action menu select Generate Lines. The Receipt Note Search form is then displayed.

Specify this information:
- Receipt Note Reference
- The reference of the receipt note that is to be created if references are not automatically generated.
- Supplier Code
- The supplier on the required transaction.
- Item Code
- The item code on the required transaction.
- Supplier Item Code
- The supplier item code on the required transaction.
- Transaction Reference From and To
- You can enter a range of transaction references to search for using these fields.
- Transaction Type
- You can select one or several of the following options. If
you do not make a selection, all transaction types are returned in the search:
- Purchase Order
- Purchase Invoice
- Movement Order.
Note: You cannot mix purchase and movement transactions within a single receipt note. Also, all lines within a receipt note must be for the same purchase or movement transaction type.- Item Type
- You can select one or several of the following options. If
you do not make a selection, all item types are returned in the search:
- Goods
- Service
- Charge
- Non-Inventory.
- Not Yet Due
- Check this check box if you want to search for transactions that have not yet reached their due by dates.
- When you have entered the required criteria, select Search from the Action menu. The results of the search are displayed in the grid.

Specify this information:
- Process
- Check the check box in this column against the
transaction that the items are to be received against. After you have
checked all the required transactions, from the Action menu select Create Lines. This
returns you to the Inventory Receipt Note
Entry form where you can enter additional details for the
receipt note. A new receipt note is created. Note: To select all the transactions shown in the grid, choose Select All from the Action menu.
- Quantity Received
- On this form, this field contains the quantity that is still to be received. If a different quantity has been received, this is entered on the Inventory Receipt Note Entry form once you have returned to that form.
- Original Demand Quantity
- The quantity on the original transaction.
- Unit of Measure
- The unit of measure that the quantity is held in.
- Transaction Definition Code
- The purchase or movement type setup code for the selected transaction.
- Transaction Reference Number
- The reference number of the original transaction.
- Line Number
- The number of the line on the original transaction.
- Item Code
- The item code.
- Description
- The description of the item.
- Supplier Code
- The supplier code.
- Transaction Type
- That is, purchase order, purchase invoice, or movement order.
- Save your changes.
