Entering Manual Payment Overrides
Manual payment overrides are used to increase or decrease the payment to a supplier by posting an adjustment transaction to the supplier account. Manual payment overrides are described in detail in 'What are Manual Payment Overrides?'.
The following steps are required to enter manual payment override transactions:
- Use a control desk filter to extract the transactions you require onto the Control Desks In-Tray. Typically, these would be the transactions due for payment for one or more supplier accounts, for which manual payment override transactions need to be entered.
- In the Report Process field, select Manual Payment Override and click to list the selected transactions on the Manual Payment Override window. The transactions are grouped and sub-totalled by supplier account, transaction currency and payment method. This represents the grouping that would apply to a payment run.
- Click on one of the selected transactions for the supplier account for which a manual payment override is required. This transaction's details are used as the basis for the manual payment override transactions. For example, any payment details and analysis codes that are included on this transaction will be included on the override transactions generated. Therefore, you should select a transaction that would be included in the same payment run.
- Click Manual Payment Override to post an adjustment that will increase the amount outstanding on the chosen account and thus increase the generated payment. Alternatively, click Manual Deduction Override to post an adjustment that will decrease the amount outstanding on the account and the generated payment.
- The Ledger Entry (LEN) form appears on which you must enter the other manual payment override transaction details. In addition to entering the normal transaction details you must also attach text to the transaction.
- When you have entered all of the manual payment override transaction details, click . The offset transaction is generated automatically and both transactions are posted to the account.
- The Manual Payment Override window reappears. It includes the new manual payment override transaction and displays an adjusted supplier sub-total.
- You can repeat steps 3 to 7 to post additional manual payment override transactions, if required.
- Click to leave the control desk.
