Authorizing Journals

If the Authorization Required flag has been set for a journal type, any journals entered or imported for this journal type must go through the authorization process before they can be posted.

When journals with these journal types are entered using Ledger Entry or Ledger Import, they are automatically placed on hold with an authorization status of Authorization Requested.

If you are entering the journal using Ledger Entry (LEN), the Authorization Batch Comment dialog appears when you choose to Post the journal. This identifies the authorization set (batch) reference and allows you to enter a comment or note for the authorizer. When you click on OK the journal is held automatically and the transactions are sent for authorization.

These journals cannot be recalled in Ledger Entry, amended or posted, until they have been through the authorization process.

If a journal is authorized it is posted automatically, providing it is still in balance.

If a journal is rejected during authorization it can be recalled using Ledger Entry and amended. In this case it must pass through the authorization process again before it can be posted. Alternatively, it can be cleared from the Ledger Hold tables.
