Reviewing Journal Lines

There may be times when you need to review all of the journal lines that you have entered for a journal.

Reviewing the Journal Lines in a Grid Form

If the Ledger Entry form you are using includes a grid, this contains all of the ledger transactions. You can scroll up and down the grid to view the transactions, or scroll across the grid to display the transaction details.

Depending on the design of the form you may be able to:

  • amend any of the details for a journal line by updating the information directly in the grid.
  • click on a line in the grid to display the journal line details in separate fields on the form where they can be amended.

Reviewing the Journal Lines By Reference

If the Ledger Entry form you are using displays only one journal line, and you want to display all of the journal lines by transaction reference, select Action > View.

The transactions are displayed in a separate, View Transactions, dialog. All of the journal lines entered for the current transaction reference are listed. You can use the First, Previous, Next and Last buttons, or corresponding navigation buttons, to view the journal lines for any other transaction references in the current journal.

The balancing details for the journal as a whole are displayed at the top of the dialog.

Click Close to close this dialog and return to Ledger Entry (LEN).

Selecting Journal Lines

You can use the normal navigation buttons and options to select and view different journal lines. These options are also included on the menu and are summarized below:

Menu Command Toolbar Button Displays
First Go To First the first journal line.
Previous Go To Previous the previous journal line.
Next Go To Next the next journal line.
Last Go To Last the last journal line.

Selecting a Transaction Reference

A journal can contain transactions for one or more transaction references. If you have more than one reference in a journal, you can select a particular reference from the Action > Options > Go To commands. These are listed below:

Menu Command Displays
First Reference the first journal line, for the first transaction reference.
Previous Reference the first journal line, for the previous transaction reference.
Next Reference the first journal line with the next transaction reference.
Last Reference the first journal line with the last transaction reference.
