Overview of the Chart of Accounts and analysis facilities
Chart of accounts codes
The chart of accounts codes are the foundation for your financial reporting. A ledger account will exist for each type of expense, revenue, asset and liability you need to account for and report on. Each ledger account is identified by a 15 character code.
Financials operates as a single integrated ledger, this means that separate ledger accounts are also held for each supplier and customer. You do not need to maintain and reconcile debtor/receivables or creditor/payables control accounts.
Analysis dimensions and codes
The SunSystems Financials and Order Fulfilment modules include a powerful, global analysis capability that allows you to assign analysis codes to a number of different types of data. You can analyze both static data and transactions.
The types of data you can analyze are referred to as analyzable entities. For example, you can analyze ledger accounts, ledger transactions, customers, suppliers, sales orders, purchase orders and inventory movements (and many more data entities), in many different ways.
You can enter up to 10 different kinds of analysis code on each analyzable entity. For example, you can assign Branch and Product codes to the postings to revenue and expense accounts in Financials, and on sales and purchase orders in Order Fulfilment.
The analysis codes are used to extract and report on data to meet your unique reporting requirements. In Financials they can be used in conjunction with the chart of accounts codes to provide detailed management reporting. For example, you might extract and sort data based on the Branch analysis codes to produce Branch profit and loss reports.
Each different kind of analysis you require is referred to as an analysis dimension and within each dimension you can define an unlimited number of valid analysis codes. For example, if you require branch analysis define an analysis dimension called Branch, and create analysis codes for each of your branches.
An analysis dimension can reference codes that already exist elsewhere in SunSystems. For example you can analyze transactions by employee code and, providing these codes have been defined in Order Fulfilment, you can use these existing codes for the analysis dimension.
The analysis capabilities of an analysis dimension can be extended using analysis hierarchies. An analysis hierarchy can be used to group the analysis codes, within an analysis dimension, for reporting purposes.
