Ledger Sequence (LEQ)

  1. Open Ledger Sequence (LEQ) from the main SunSystems menu.
  2. Specify this information:
    Sequence Number Code
    An alphanumeric code to identify the series of sequence numbers to be generated. You might use a code to identify the type of transactions the sequence numbers will be applied to, such as sales invoices, cash receipts and so on.
    Ledger Code
    The code identifying the ledger to which you want this sequence number applied.
    Name
    A description of this series of sequence numbers.
    Lookup Code
    A lookup code can be used to find a record, as an alternative to the record code. It is often set to a shortened version of the description. It is particularly useful if a record is often referred to using different codes. For example, the Chart of Accounts code for Fuel Expenses is 75201 and the Lookup Code is set to FUELEXP.
    Update Sequence

    The method by which the sequence number is to be updated. The following options are available:

    Manual
    Select this if you want to enter a sequence number manually into the chosen analysis dimension on each new transaction. You cannot use this option and assign the sequence code to system generated journals.
    Date Control
    Select this if registration date control is required without a sequence number. In this case, the sequence number code, identified previously, is written to the transaction sequence dimension identified in Ledger Setup (LES) but a sequence number is not applied.
    Automatic
    Select this if you want the sequence number to be updated and assigned automatically to each new transaction. This option must be selected for daybook sequence numbers.
    Entry
    Select this if you want the sequence number to be updated automatically and want to see the number assigned to the journal. The sequence number is displayed on the bottom line of the Ledger Entry (LEN) form when the journal is posted.
    Next Sequence Number
    If this sequence number is set to Automatic or Entry, this is the next sequence number to be used.
    Registration Date

    This is the date that is used as the entry date for this sequence number code. This date appears on all transactions created in:

    • Ledger Entry (LEN) with journal types using this sequence number code
    • Ledger Import (LIM) with journal types using this sequence number code
    • Transaction Allocation.

    To assign both a registration date and a sequence number to a transaction you must enter the Registration Date here and select either the Automatic or Manual option in the Update Sequence field.
