Consolidating data

When you are consolidating data, you can select a series of fields by which you want to summarize your transaction data. The transaction values selected to sum are totaled by the fields you select to consolidate. The fields not selected as consolidation fields have no value. However, you can configure the transformation process and set them to have specific or calculated values.

Where a profile has Ledger as the source or target component or data format, you can specify consolidation settings from the Ledger Specific tab in these profile designers:

  • Import Profile Designer
  • Export Profile Designer
  • Internal Transfer Profile Designer
  • External Transfer Profile Designer.

To consolidate data:

  1. In the relevant profile designer, on the Ledger Specific tab (or the Consolidation Settings tab for import profiles), click the button next to the Consolidation field. The Consolidation Settings dialog is displayed.
  2. In the Consolidation Settings dialog, select Use consolidation.
  3. From the Consolidation Settings dialog, click New. The Consolidation Designer is displayed.
  4. Within Consolidation Designer enter a Name and Description for the consolidation settings.
  5. From the Schema list:
    • to move elements that you want to consolidate, select an element and click the right arrow to move it to the Consolidating Columns section.
    • to move elements that you want to total, for example a financial value, select an element and click the right arrow to move it to the Summing Columns section.
    Note: In the Schema list, each data element has an icon next to it. Data elements that can be summed have an icon with a plus symbol. For example: + Journal Number.
  6. In the Consolidating Columns section, when you have selected several data elements, you can change the order in which data is summarized by clicking the arrow buttons to move them up or down.
  7. When you have added all the data elements you require, click OK.
