Adding Data Access Groups

  1. To add a new data access groups form, log on as an administrator user, then select Security Settings (SES), and click the Data Access Groups tab. Existing data access groups are displayed in a grid under Data Access Group Detail.
  2. To create a new data access group, click the Create button on the Data Access Group Detail toolbar.
  3. Specify this information:
    Data Access Group Code
    The Data Access Group is used to restrict operator access to the data, for example, to an account or customer record. Leave this blank to allow any user to access the record. Data Access Groups are maintained using Security Console.
    Short Heading
    The short heading, which is used where space is limited. If this is blank it defaults to the first characters of the description.
    Lookup Code
    A lookup code can be used to find a record, as an alternative to the record code. It is often set to a shortened version of the description. It is particularly useful if a record is often referred to using different codes. For example, the Chart of Accounts code for Fuel Expenses is 75201 and the Lookup Code is set to FUELEXP.
    Description
    The full name or description of the data item or record. This is used to identify it on reports and inquiries.
    Include/Exclude
    Select Include if you want the user groups within this data access group to have access to the associated data, otherwise select Exclude.
    Status
    Available Operator Groups
    Lists the user groups available to be associated with this data access group.

    Use the add and remove arrows, or highlight a group and double-click, to create the list of user groups to be associated with this data access group. These are then displayed in the Associated Operator Groups grid.

    You can enter up to 128 user groups against one data access group code.

  4. Click OK to save the details.
