Holding Split Transactions

If you cannot complete a multipart transaction split, you can suspend the split by placing it on hold. This enables you to return to it at a later time to complete it.

You hold a multipart transaction split by selecting the Hold option on the Allocation Multipart Split form.

When you click Hold, the Hold Multi-Part Split form is displayed. You should enter the reason for holding the split and click OK.

The system generates a journal that contains the split transaction details, assigns it a unique journal reference number and a journal type of SPLIT.

The original transaction that was being split is given a status of Allocation in Progress. This prevents it from being allocated until the split transactions in the held journal are either completed, or deleted at which point this status is reset.

The following details are added to the original transaction:

  • a Split in Progress flag is set
  • the Split By User Id is set to the operator Id of the person who held the split
  • the Held Journal Number that contains the split transactions.
Note: These details can be added to user defined inquiry screens or reports if required.

To complete the multipart split, you must select the held journal using Ledger Entry Held Journals (LEH) to return to the multipart split form. You can enter additional split transactions or amend the existing split transactions to complete the multipart split in the normal way.

When you select the Split Complete option the Search Results - Account Allocation form is displayed. It shows the original transaction and the split transactions. The Allocation in Progress status is removed from the original transaction.

Note: In some exceptional circumstances this status may not be reset correctly, for example as a result of computer failure. In this case a user with the appropriate data access group authorization can use the Clear Allocation in Prog action to reset this status for a transaction.

You must select Post to post the generated split transactions and remove the held journal details.
