Extracting the transactions for allocation

When you select Account Allocations (ACA), the Selection Criteria for Account Allocation form is displayed to allow you to select the account transactions you want to allocate.

Note: Transactions can be marked for allocation in Ledger Entry (LEN) by setting the Allocation Marker field in Journal Types (JNT). If this is the case and the journal has not been posted, these transactions are not available to Account Allocation.

Transactions can be selected for allocation using a control desk as an alternative to using this form.

The following steps are required to select transactions for allocation:

  1. Select Account Allocation (ACA) from the main menu in SunSystems.
  2. From the Selection Criteria for Account Allocation form, identify the account for which you want to allocate transactions.
  3. Enter any additional selection criteria required to narrow down the transactions that are extracted from this account for possible matching.
  4. From the Action menu, select Accept > Extract to locate the required transactions and present them for allocation.
  5. A dialog appears while the transactions are being extracted and you can press Escape to cancel the extract, if required.
  6. The selected transactions are displayed on the Search Results - Account Allocation form to allow you to allocate or amend the transactions.
    Note: If the account you have chosen for matching is being used by another user, the Allocation in progress on this account. Retry? message appears. You can click Yes to see whether the account is now available, or click No to exit and select another account. If you are a user with the appropriate data access group authorization to be able to clear this lock on the account, an additional dialog appears asking whether you wish to do so.
