Recalling a Held Journal

When you hold a journal it is placed on the held journal file. You can list the held journals and recall a selected journal using Ledger Entry Held Journals (LEH), or the View Held Journals option in Ledger Entry (LEN).

A journal is only removed from the held journal file under the following circumstances:

  • if the journal is recalled and posted.
  • if the journal is recalled and deleted.
Note:  You can also hold a transaction multipart split. These split transaction details appear as held journals with a Journal Type of Split.
  1. Access Ledger Entry Held Journals (LEH) directly from SunSystems. Alternatively, if you are currently using Ledger Entry (LEN), from the Action menu select View Held Journals.
  2. A list of the held journals appears. Each journal is identified by a Reference number that is displayed to the left of the Journal Type. The No of Transactions field identifies the size of the journal. The Journal Source identifies the person who entered the journal, that is the Operator Id.
  3. Click on the journal you want to reselect for processing.
  4. Select Action > Select Held Jnl to reselect the journal for processing. If the journal was held during Ledger Entry, the journal details reappear in the Ledger Entry form and you can amend and post the journal. Alternatively, if the journal is not required, you can choose to cancel it. If the Journal Type is SPLIT, the journal was placed on hold by Account Allocations (ACA) and contains an incomplete multipart transaction split. In this case, when you choose the Select Held Jnl option, the split transaction details are redisplayed on the Manual Ledger Allocation Multipart Split form to allow you to complete the transaction split.
  5. Alternatively, select Action > Clear Journal from to remove the journal.
