Using the Data Description Editor form

The Data Description Editor (DDE) form contains a filter section containing the following fields:

  • Language Code
  • Business Unit Code
  • Function
  • Form Name
  • Label
  • Description
  • New Label
  • New Description

Multiple selections can be made by using the mouse click, shift, mouse click operation for ranges, or the mouse click, Ctrl, mouse click operation for items which are not in a range. However, it is not possible to simultaneously create or edit user defined descriptions or labels for items that are not part of the same hierarchical group.

  1. Specify this information:
    Show Forms Only
    Select this check box to only return results for forms.
    Show Overrides Only
    Check this check box to only return changes made using the Override option.
  2. After you have entered the required filter criteria, click Search. You can use the wildcard character % in Label or Description fields. For example, Acc%.
    Note:  You can only access data according to the rights set up in User Manager or Security.

    The results of the filter are displayed in the grid section, which contains the following columns:

    • Language Code
    • Function
    • Form Name
    • Description
    • Business Unit Code
    • New Label
    • New Description
    • File Code
    • Data Record Type
    • Item Number.
    Note:  The combination of File Code and Data Record Type gives a unique reference to a function. The item number is a unique reference to a specific column on a function table. Using these fields can be useful when the same label or term is used across functions to help pinpoint the exact description on a form to be edited.

    Highlight the required line on the grid for the item to be changed.

  3. Click Change Default to change the default details for the data item across all business units. Enter the New Label and/or New Description, and click Save. You are returned to the main form, and the amended details will be included in the grid.
  4. Optionally, click Create Override to change the data item for a specific business unit. Enter the New Label, New Description, and required business unit, and click Save. You are returned to the main form, and the new data item will be included in the grid.
